Job snapshot
This role is responsible for the daily operations of our UK head office to help with the organization and running of the daily administrative operations of the office. You will also be responsible for managing all aspects of fleet on a day-to-day basis and serving as the primary point of contact for fleet queries.
The individual in this position must exhibit high multi-tasking and organisational abilities and must be proactive in ensuring that both the office and fleet operates efficiently and effectively to support the success of the business.

**Responsibilities**:Not limited to but will include**:
Office Management

Meet and greet any external visitors to the building ensuring signing in, visitor passes and health and safety information has been supplied
Manage the meetings rooms including overseeing of bookings, setting up and refreshments as and when required
Ensure the office is well stocked of refreshments i.e. milk, tea, coffee
Manage the stationery, orders and suppliers
Daily organising of inbound and external post and funding of franking machine
Ensure the office is well maintained and tidy at all times
Responsible for site security and issuing of security passes
Booking of all travel and accommodation for Senior Leadership Team (SLT) as directed
Support the management team with any requests for admin support including preparations of presentations and booking team meetings
Assist with internal company events as directed but not limited to Christmas Party, Summer Social, team building events
Arranging X-ray badges for specified roles
Coordination of company uniform ordering requirements across UK
Support Facilities & Warehouse Manager with health and safety administration where necessary.
Responsible for maintaining the gift register to ensure compliance against anti-bribery
Responsible for monthly administrative reminders across the business

Fleet

Manage and co-ordinate the day-to-day administration of our company cars and grey fleet in line with the requirements of our company car policy
Responsible for ordering replacement company cars in line with lease renewals
Management and administration of company mileage tracking systems for company car fleet and process reports for payroll purposes
Management of company driving licence checks
Point of contact for day-to-day enquiries from employees, lease providers, insurers, and any other 3rd party
Process fines in line with our company car policy and ensure follow up with drivers.

Ad-hoc

Any other ad-hoc responsibilities which may be required to be completed
Work closely with the Facilities and Warehouse Manager and HR Team where required

**Key Competencies Required**:
Ability to plan, prioritise and work to strict deadlines in a fast-paced, pressurised environment
Advanced users of all Microsoft packages
Strong communication and organisational skills
Ability to handle confidential data with discretion
Problem analysis and problem-solving
Excellent attention to detail and accuracy
Ability to use own initiative and work with a proactive and pragmatic approach
Ability to constructively challenge requests received if inappropriate or out of the norm
Able to make decisions based on information available
Some experience of office management
Fleet management experience desired
Evident of ownership of end-to-end process
Experience of working with and advising at all levels of an organisation, including senior management
