**Facilities Co-Ordinator (6 month FTC)**:
**Description of Team / Department**:
The Facilities team provide a range of support to teams on site, including management of reception, greeting and supporting visitors to site, setting up meeting and conferencing facilities when required, and ensuring that all employees on site have the equipment and welfare facilities that they need. The Heidelberg Cement International Business Service Centre (BSC) provides administrative and transactional services to in-scope HC companies.

**Purpose of / Responsibilities of the role**:** Site co-ordination**:

- Designated site responsible cover for Facilities Manager when required
- Provide support to the Facilities Manager for any day to day site requirements, ensuring any incidents are logged and tracked in ticketing system. Such requirements may include, but are not limited to, control of contractors activities, dealing with minor H&S risks or near hits, maintenance works, stock ordering, site walks and audit of external facilities work such as cleaning etc, general site housekeeping
- Proactively enforce site health and safety compliance, and continuously review for risks.
- Maintenance and control over all IT assets held by the department including pool laptops, always ensuring records, security and functionality.
- Play a key role in organizing and managing high profile stakeholder visits and conferences.
- Provide support for staff and visitors on site to ensure that they have everything that they need during their time on site
- Event and staff engagement support when required including risk assessing, organization and delivery
- Owning and carrying out small project works and desk moves
- Provide expert support in on-site technology and equipment, including, but not limited to, AV equipment, PA systems, noticeboard tv screens etc.
- Manage daily high quality content for notice board screens and ensure live running on all screens
- Invoice processing support, including coding and cost checking
- Provide support for staff and visitors on site to ensure that they have everything that they need during their time on site
- Reception cover when required
- Any ad hoc tasks reasonable requested by Facilities Manager or senior management on site
- A flexible approach to working hours, on occasion some out of hours work may be required

**Training and On boarding**:

- Ensure all new starters are allocated appropriate equipment for their roles (to include desk allocation, IT equipment, PPE etc)
- Raise ITSR or equivalent requests for equipment requiring ordering and ensure that this is received and set up in advance of team member arrival
- Send and review DSE assessments and ensure any special requirements to ensure that necessary adaptions are made to workstations
- Set up and test equipment with new starters and support with any initial issues
- Develop and deliver on-boarding and induction training to give an overview of our organization and P2P processes.
- Provide coaching to appropriately knowledgeable team members to ensure that they deliver engaging sessions in the style intended.
- Co-ordinate availability of fundamentals trainers ensuring that all sessions are delivered by an ‘approved' trainer

**Skills / Experience**:

- 2 - 3 years experience within a facilities role
- BIAS towards hard services within facilities
- GCSE's or equivalent in English and Maths
