**Job summary**:
As a HR Administrator you will be acting as the reception point of contact to all colleagues and members of the public to answer queries/triage or escalate to other teams.

**Job description**:
**You’ll be accountable for**:

- Setting up and co-ordinating meetings.
- Drafting letters and preparing packs for formal meetings/hearings.
- Taking notes if required at formal meetings/hearings, ensuring an accurate record of proceedings is kept.
- Drafting letters in line with the sickness absence triggers and policies on long-term and short-term sickness absence management.
- Drafting Occupational Health referrals.
- Update medical certificates if required and file on personnel record.
- Monthly inputting of new starters onto the HR System (currently ResourceLink).
- Monitoring probation forms and escalate issues to the HR Advisor.
- Drafting reference letters for current and ex-employees.
- Responding to enquiries to the HR inbox and covering the main telephone line.
- Process security clearances for renewals.
- Support the HR team when required and cover work for the other members of the team in their absence.

**Person specification**:
**What we’re looking for**:

- Experience of working in a HR team or have strong administrative experience of providing administrative support to managers on a variety of processes.
- Ability to communicate effectively, both orally and in writing.
- Ability to prioritise workload, often to tight deadlines.
- Excellent interpersonal and customer service skills and the ability to represent the HR to House of Lords Offices, and to the House of Commons, PDS and members of the public.
- Ability to work effectively as part of a team and show flexibility towards covering the work of the HR team.
- Good judgment and ability to use tact and discretion at all times.

**It would be even better if you had or if you’re willing to learn**
- Experience of using HR IT systems.
