We are currently recruiting to the post of Medical Resourcing Administrator to work within the Medical Resourcing Team for 25 hours per week.

The Medical Resourcing Team provides services for all Medical Staff staff recruited to the Trust This job role will provide general administration and support as a integral part of delivering recruitment services in order to maintain optimum medical establishment

To process documentation relating to employee service conditions for medical staff and to carry out pre-employment checks for Medical Staff adhering to strict deadlines

Provide administrative support to the Medical Resourcing Lead and the Assistant Medical Resourcing Lead

To ensure accurate maintenance of personal files for all medical staff

To ensure the timely completion of employee appointment, amendment and termination forms to ensure that Payroll has the correct information pertaining to medical staff for input to the Electronic Staff Record (ESR)

In liaison with the Medical Resourcing Lead/Assistant Medical Resourcing Lead to maintain the Medical Establishment database, ensuring that it is up-to-date at all times with current doctors in post and future incumbents

- To provide basic HR advice in relation to medical staff terms and conditions, pay queries and recruitment procedures
- To support the Medical Resourcing Lead/Assistant Medical Resourcing Lead in effectively recording and monitoring the registration status of medical staff ensuring concerns are raised with appropriate Clinical Director for action
- To assist with the recruitment and selection process for the appointment of all grades of medical staff and maintenance of job files for all vacant posts
- To arrange appointment panels for interview, book meeting rooms and provide panel members with all required documentation for the interview process
- Responsible for checking work permit validity and escalating concerns to the Medical Resourcing Lead/Assistant Medical Resourcing Lead
- To carry out pre-employment checks in accordance with NHS Employers standards for medical and dental staff, including DBS checks and obtaining references, making appointments with medical staff so they attend for document checking
- To produce appointment letters and contracts of employment for junior medical staff and prepare appointment letters and contracts for senior medical staff excluding consultants
- To prepare all documentation and relevant correspondence for applicants, interview panels and the Occupational Health Department, including shortlisting, interview process and appointments
- To communicate effectively with the Medical Resourcing Lead/Assistant Medical Resourcing Lead all areas of concern
- To participate in the induction arrangements for junior doctors
- To process documentation relating to employee service conditions for medical staff
- Provide administrative support to the Medical Resourcing Lead and the Assistant Medical Resourcing Lead
- To ensure accurate maintenance of personal files for all medical staff
- To ensure all medical staff are issued with a name stamp containing their GMC number if required
- To ensure the timely completion of employee appointment, amendment and termination forms to ensure that Payroll has the correct information pertaining to medical staff for input to the Electronic Staff Record (ESR)
- Data input and accurate maintenance of confidential records both electronic and paper based
- To handle telephone enquiries, receive and distribute messages and receive visitor to the department, using own discretion on how to deal with enquiries
- Liaison with external bodies as applicable, e.g. GMC, Capita, UKBA, DWP and Royal Colleges
- Workflow notification checks to ensure discrepancies are investigated and corrected accordingly
- To ensure necessary clearances are obtained and contracts issued for Honorary Contract Holders
- To handle telephone enquiries, receive and distribute messages and receive visitors to the department and
