**Primary Role**:
To provide general administrative support to the Sales & Marketing functions working closely alongside the Sales & Marketing EA and Sales Admin teams to provide additional support in busy periods.

**Key Roles & Responsibilities**:

- Calendar Management - scheduling meetings, appointments, & travel arrangements as needed for the Sales & Marketing teams
- Meeting Coordination - Arranging & coordinating meetings; preparing agendas, taking minutes, & following up on action items
- Project Support - Assisting with special projects, research, & presentations to support the department’s strategic initiatives
- CRM - Assisting in managing the CRM system by updating client/contact information, tracking interactions, raising opportunities/ contacts & generating reports to support sales & marketing efforts
- Sales Order Processing - Processing sales orders for handover to Operations teams
- Processes & Systems - Maintaining team compliance with process and ensuring documented processes are kept up to date
- Data Analysis - Compiling & analysing data, generating reports, & assisting in tracking key performance indicators to support decision-making processes
- Ad Hoc Support - Providing ad hoc administrative support as needed to ensure the Head of Sales & Marketing’s efficiency & productivity
- Event Planning - Helping plan & coordinate sales & marketing training days & other events
- Document Management - Preparing & editing documents, presentations, & reports as requested. Ensuring accuracy & consistency in all materials
- Team Coordination - Fostering a collaborative & efficient working environment within the sales & marketing department
- Training & Onboarding - Assisting in onboarding new team members by providing training & orientation on departmental processes and tools
- Expense Management - Handling expense reports & reimbursement requests whilst adhering to company policies
- Strategic Initiatives - Supporting the Head of Sales & Marketing in the implementation of strategic initiatives & long-term planning for the sales & marketing department

- Confidentiality - competent in handling sensitive & confidential information with the utmost discretion & professionalism
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Ability to handle multiple tasks & prioritize effectively in a fast-paced environment
- Attention to detail & a high degree of accuracy
- Adaptability & a proactive approach to problem-solving
- Previous experience or knowledge of sales & marketing principles, strategies, & tactics
- Proficiency in data analysis tools like Microsoft Excel, or data visualization tools like PowerBI
- The ability to identify issues, propose solutions, & adapt to changing circumstances
- Strong interpersonal & relationship-building skills
- A proactive attitude & ability to work independently
