**Office Administrator Job Purpose**:
To be the first point of contact for internal and external stakeholders, providing an exceptional reception service, responsible for the efficient management of visitor arrangements, screening and forwarded incoming calls, travel bookings, management of meeting room bookings on-site and general administration duties and providing cover for the Senior Executive PA as and when required supporting the Senior Leadership Team.

**Office Administrator Duties**:

- Supporting the Research and Development, Finance and Legal Teams with invoicing and statements.
- Answer, screen and forward incoming phone calls; providing basic information when needed.
- Distribute incoming post and frank outgoing post.
- Responsible for the booking of all on-site meeting rooms on behalf of the full staff team and ensuring the meeting rooms are clean and tidy and fully stocked and arrange any catering requirements.
- Raise purchase orders and track invoices ensuring accurate tracking of spend for Research and Development team.
- Ordering workwear and collating monthly timesheets for the Research and Development team.
- Providing SAP reports for the finance team and closing open purchase orders monthly.
- Support the implementation of employee engagement and charity events.
- Hosting external visitors while they are onsite, meet and greet, issuing visitor badges and required PPE and ensure visitors parking is assigned and allocated accordingly.
- Notetaking, including meeting minutes during company meetings.
- Prepare business expense reports as and when required.
- Arrange pre-authorised travel and accommodation (hotels, flights, car hire, taxis, etc) on behalf of the full staff team and visitors, when required.
- Cover Senior Executive PA duties when required and supporting the Senior Leadership Team.
- This list is not exhaustive, the role may require other reasonable duties from time to time in line with needs of the business.

**Office Administrator Requirements**:

- Proven experience within a similar role,
- Ideally experience in the Automotive industry, but any industry will be considered,
- Strong communication skills both verbal and written,
- Proficient in the use of SAP
- Has the ability to prioritise work and meet tight deadlines,
- Be a strong team player and remain calm under pressure.
- Must be a self-motivated individual.
