The Neonatal Intensive Care Unit at St Michaels Hospital is looking to a recruit a ward clerk to join our team. The neonatal unit can be a busy environment and we are looking for a motivated, organised individual with excellent communication skills that can ensure administrative tasks are completed to a high standard whilst also ensuring families are welcomed to the unit and shown care and empathy during their babies stay.

**Communication**:

- To show a caring and professional approach towards patients and visitors when carrying out all duties
- Escalate queries, capacity problems and general issues to the role’s line manager or relevant clinical staff as appropriate
- Maintain patient confidentiality

**Patient Care**:

- To welcome and assist relatives and visitors on arrival to the ward and inform appropriate staff. This may require acting with resilience to deal with sometimes distressed relatives in a professional and empathetic manner.
- Provide families with information about facilities, request parking permits for families and order meals for mothers in line with department guidelines.

**Organising and Planning**:

- Ensure that all clinical results and other clinical information are accurately filed in the patient notes and that patient notes are up to date and maintained according to the relevant Trust standards
- Ensure patient records are appropriately received and transferred and trace all notes into and out of the ward
- Prepare patient notes for coding within the relevant deadlines set by the coding team
- To carry out associated clerical duties, for example maintaining accurate filing systems, photocopying, receiving and distributing post, diary management and scanning patient notes if required

**Service Development and Research**:

- To take part in departmental audits and associated duties
- Attend training courses as required to support personal development and the needs of the service
- Assist in training of new members of the team

**Finance and Resources**:

- If and when appropriate and directed, order and/or receipt stationary and essential items, in line with Trust policies

**Information Resources**:

- To check and update patient details on arrival to the ward, retrieving data from a number of internal and external PAS’s to ensure real time patient flow data is kept across the Trust
- Be responsible for the accurate entry of data to computerised databases, using all computer systems relevant to the role
- To review discharge paperwork and book patient follow-up appointments in line with the Patient Access Policy (PAP) and arrange appointment related services as and when required (E.g. transport and interpreting services)
