**THIS IS A TEMPORARY REPLACEMENT POSITION FOR A BARGAINING UNIT EMPLOYEE.** Terms and conditions of employment are as outlined in the Support Staff Collective Agreement.

Reporting to the Campus Principal and Associate Dean, the incumbent is responsible for a wide range of administrative duties related to the provision of all full time post secondary programs offered at the Midland Campus, including finances, student services, orientation, scheduling, assisting students, program co-coordinators and faculty members. Specific duties include, but are not limited to:

- Responding to inquires from students, staff, and the general public, usually as a first contact by providing detailed information on fees, admissions, courses and programs, registrations and offering campus tours
- Processing course registrations and ensuring the correct fees are assessed at the time of registration
- Collecting both full-time and part-time fees using a point-of-sale system
- Ensuring all non-postsecondary and part-time postsecondary information is accurately reflected in the Student Information System (Banner)
- Providing first point of contact for registration inquires and assisting students with follows-ups regarding Registrar decisions
- Ordering, selling, and returning required textbooks and program specific tools/supplies
- Providing information to students as to eligibility for awards
- Participating in the planning and preparing for promotional events and activities such as open houses, preview days, and orientation
- Generating and distributing course outlines and admissions/statistical reports
- Assisting faculty where required with entering marks and completing mark change forms
- Monitoring registration numbers and liaising with faculty relative to section overrides if necessary
- Assisting new faculty members with college processes and computer access
- Coordinating Program Advisory Committee and focus group meetings including taking and distributing agendas/meeting minutes
- Working with faculty to assist in obtaining field placement postings and informing students and assisting students with the completion of field placement paperwork including collecting, assessing and entering field placement evaluations
- Assisting students with exemption and PLAR processes
- Assisting in the forecasting of projected enrolment
- Releasing OSAP loan documents and grant/bursary cheques after verifying registration and tuition amounts
- Providing information on other sources of student funding e.g. awards, scholarships and bursaries
- Responding to OSAP inquires and providing assistance and referrals
- Collecting OSAP documentation and forwarding to the Financial Aid Office
- Requesting OSAP PIN resets after identification verification
- Providing information and referral services for the Student Services/Centre for Access Department and scheduling appointments with the appropriate staff members
- Receiving and arranging for testing accommodation requests
- Assisting with the planning and implementation of program offerings in the Part-Time Studies calendar
- Assisting with funding type changes, course outlines, and course/program updates/revisions
- Creating course reference numbers (CRNs) for all part-time postsecondary, non-credit and corporate courses
- Supporting the co-ordination of all Part-time Studies, corporate training and certificate programs
- Submitting non-full-time faculty contracts
- Processing course registrations in Banner and collecting tuition fees
- Monitoring cost centers, producing summary reports, identifying issues, and recommending solutions
- Assisting in developing the annual budget, tracking changes and preparing for budget reviews
- Paying invoices from the appropriate accounts and generating invoicing requests
- Preparing and balancing a daily deposit for accounting and depositing all campus funds at the bank
- Assessing and collecting convocation and Alumni fees and submitting graduation forms to the Registrar’s Office
- Requesting gowns and hoods required for platform party and graduates
- Troubleshooting missing courses/marks and student’s graduation eligibility
- Inputting full-time faculty workloads into the enterprise resource planning system (Banner)

**QUALIFICATIONS**:

- Successfully completed a two-year postsecondary diploma in Business or Office Administration
- A minimum of three years’ experience in a similar role
- Knowledge of registration processes, Banner, Blackboard, College Practices and Procedures
- Knowledge of credit/debit card office operations and payment proce
