The Practice Development and Education (PD&E) Team manage an extensive range of in-house and external training and education programmes for non-medical staff. This post provides essential support for the planning and delivery of these courses and programmes.

We require a welcoming, professional customer focused individual to provide a meet and greet service to delegates, students and staff at our new Oxford Hospitals Education Centre. The role will be an integral part of our Business Support Team and in addition to supporting activity within the Education Centre, you will also provide administrative support to the wider team. The post holder will support with the efficient and smooth running of the Centre, act as front of house and have a range of duties that support the Education Centre Co-ordinator.

This includes communicating with visitors, partner and external organisations, training providers and co-ordinators in a professional manner. The day-to-day management of the centre will involve maintaining the teaching room bookings, training equipment and the centre’s working environment/building. An essential part of the role is supporting the wider administrative team to ensure that programmes and courses are delivered efficiently and any follow up required for registration, payment and evaluation is completed in a timely manner. There is an expectation that the postholder can respond to a range of different requests for support from the team.
- To welcome all visitors to the Education Centre in a professional and helpful manner, ensuring their needs are met and they are directed or escorted to the correct meeting/venue.
- Support with day to day management of teaching rooms booking rooms across the OUH.
- To maintain training equipment is in good working order, taken out of service as necessary and relevant departments informed to ensure timely repair or replacements identified.
- To report any faults, issues or concerns in regards to the working environment/building to the appropriate department, chasing outstanding issues and concerns as required.
- To develop and maintain effective communication with partner and external organisations, e.g. Local Colleges / Universities and private training providers.
- Liaise with training providers and co-ordinators to confirm training sessions, equipment requirements and collection of attendance records / evaluations.
- To support the team in the organisation of training and recruitment activities.
- Liaising with training providers.
- To maintain electronic filing systems,, ensuring compatibility of files, easy access, making maximum use of shared information, electronic filing and software packages and ensuring confidentiality of centrally stored documentation, compliant with GDPR.
- To provide cover for other administration team members as and when required.
