As a member of the multi-disciplinary team, the post holder provides a secretarial and administrative role to members of the team working within the dementia Team on the Communication and Interaction Training (CAIT) Project.

The post holder carries out administrative duties. The post holder will also provide secretarial support to the whole dementia team.

The post holder is a member of the multi-disciplinary team, which includes medical, nursing, administrative and management staff. The post holder will liaise with other health care staff within and out of the Trust as required and maintain professional relationships with patients and members of the public at all times.

- Answers enquiries from departments/outside agencies receiving and providing information that may be sensitive or complex and

maintains confidentiality.
- Communicate varied, sensitive and complicated information (verbally and in writing) in a way that is understood and gets important facts across.
- Uses tact, empathy and diplomacy skills when speaking with patients who may be upset or angry and with those who experience cultural and language difficulties.

Service Delivery and Improvement
- Resolves day to day conflicting dairy appointments
- To use initiative to prioritise own workload
- Arranges and advertises regular departmental meetings, books venue, produces agenda’s and takes minutes
- Plans staff cover and rota’s as required
- Follows and implements policies and may be required to propose changes to practices/procedures applicable to role
- Follows secretarial procedures, implements secretarial and administrative policies for own work area
- Scans hand written/business continuity patient notes/letters into EPR as required
- Ensures correct data entry ensuring statistical reports accurately reflect service activity. Text processing and the safe storage of data for own and accepted work such as audio transcription and copy typing.
- Performs general administrative duties to meet demands, e.g. photocopying, filing etc
- Assists with data entry for audit purposes including using Excel to produce graphs
- Completes staff surveys as required
- Responsibility for opening and closing of the clinic premises when necessary
- Provides reception cover at times of need

Patient Care Delivery
- Attend mandatory training updates as required.
- Undertake training as necessary in line with the development of the post and as agreed with the line manager as part of the personal development process.
- Achieve and demonstrate agreed standards of personal and professional

development within agreed timescales.
- Identify own learning needs and jointly plan training requirements with your line manager
- Participate in the Trust’s appraisal process to discuss how your role will help deliver the best possible care to our patients and help to deliver any changes in service.
