**Job Summary**

**Job title**: Co-curricular Administrator (Dance and Drama)

**Reporting to**: Director of Dance and Director of Drama (Subject to which appointment made)

**Main purpose of the role**: Brighton College is seeking to appoint two Co-Curricular Administrators supporting the Dance and Drama departments on a full time or part time basis, to start in early January 2024. These roles will provide day-to-day administrative support and assistance to facilitate the running of the Dance and Drama departments, specifically providing support to the Director of Dance and Director of Drama.

**General Duties and Responsibilities**:

- Undertake administrative duties as directed by the Assistant Head (Co-Curriculum).
- Oversee aspects of administration in relation to the wider co-curriculum.
- Oversee all administration tasks in relation to trips and events including letters, transport, catering and permission forms of the parent portal.
- Manage front of house and the ticketing for all dance and drama productions using the College’s online ticket platform.
- Assist the Director of Dance and Director of Drama with administration for productions.
- Assist with the scheduling of future events for the dance and drama departments, coordinating with the other co-curricular departments in the termly planning process.
- Assist with the management of the online co-curricular platform (SOCS) and the Parent Portal (MSP) including the termly scheduling and communication of various cocurricular events.
- Assist the dance and drama departments with budget management and expense claims, liaising with accounts when required.
- Assist the Director of Dance and Director of Drama with meeting coordination and minute taking when required.
- Work in conjunction with the Manager of Administration Team (Senior School) and other cocurricular administrators to help co-ordinate administrative assistance across the performing arts departments.
- Establish consistency of processes (e.g. payments and communication) for Performing Arts teams (Dance, Drama and Music), working together with other administrators in these teams.
- Maintain professional and effective working relationships with College staff, particularly the Facilities, Maintenance, Security, Catering and Porterage teams.

**Dance specific responsibilities**:

- Work with the Director of Dance to effectively communicate Dance School information to parents, pupils and College staff to ensure the efficient and professional operation of dance lessons.
- Work with the Director of Dance to design, enact and maintain Dance School registration, enrolment and billing processes.
- Work with the Director of Dance, key College staff and external providers to plan and manage Dance School Examination Sessions, Assessment Days,Parent Watching Days, inhouse performances and the Annual Brighton College Dance Show.
- Assist the Director of Dance with other academic administrative tasks.
- Assist the Visiting Dance Teachers with administrative support and termly correspondence and administration for exams.

**Drama specific responsibilities**:

- Assist the Head of Academic Drama with administration for all theatre trips and external theatre workshops.
- Assist the Director of Drama (or other teachers directing productions) with rehearsal scheduling, communication and other production related administrative tasks.
- Assist the Director of Drama with other academic administrative tasks.
- Assist the LAMDA teachers with administrative support and termly correspondence and administration for the LAMDA exams.

**Wider responsibilities**:

- Work in conjunction with the Manager of Administration Team (Senior School) and other co-curricular administrators to help co-ordinate administrative assistance across the performing arts departments.
- Liaising with HR to ensure that all necessary pre-employment checks are in place before external teachers begin work and that external teachers fulfil their safeguarding obligations, including annual completion of documentation and training.

- Provide up-to-date lists of external teachers and their start and leaving dates.

**Hours of Work**:
The preferred hours of work are 8.30am to 5.00pm, Monday to Friday inclusive (with a onehour unpaid lunch break), working term-time (35 weeks), plus an additional 3 to 6 weeks to be discussed at interview. Interest in Part-time working hours will also be considered.

**Holidays**:
Holiday entitlement is included in the salary for this role. All holiday is to be taken outside of the working weeks.
