Theatre Administrator

The post holder will support the Theatre Department providing an efficient secretarial service to the Department, Matron, Operational Business Manager, Deputy Operational Business Manager, Clinical Lead and Theatre Senior Administrator.
**An essential part of the role**:
- Good general level of education excellent written and oral skills;
- Knowledge and experience of Microsoft packages, particularly Outlook and Word and Excel as you will be using these on a daily basis;
- Flexibility, show initiative, able to multi task and be adaptable to the needs of the role, team and service;
- Experience of working within an administrative role or setting;
- An understanding of confidentiality and data protection regulations; and
- Good planning and organisational skills and the ability to communicate effectively in a pleasant and approachable manner.

The provision of secretarial duties and administrative support to ensures the efficient, smooth running of the Theatre Department.
**This includes**:
- Acting independently to prioritise work load. Exercise independent judgement and initiative when resolving problems.
- Assist in the arrangement of meetings as required by the Operational Business Manager, Matron and Deputy Operational Business Maanger and Clinical Lead as required
- Collate and prepare agendas and committee papers for the meetings described above in a timely manner
- Take accurate minutes of the aforementioned meetings
- Ad-hoc Diary Management for the Matron
- Assist with the attendance management monitoring for the department
- Undertaking of general office duties such as photocopying, faxing, filing etc and to type and distribute minutes of meetings as appropriate.
- To carry out any other duties which may be required and to provide cover across Theatres Administrative Team at times of need.
- To relay any queries or messages to the Consultants and other Health Professionals in an appropriate and timely manner.
- Adhere to the policies and procedures of the trust.
- Participate and influence policy and service development as appropriate.
- Endeavour to use resources economically.
- Exercise own personal duty of care when using equipment and while on duty.
- Use of LE2.2, ORMIS rota as required.
- Assist the Theatre Senior Administator in maintaining the theatre computer system configuration. Adding theatre users, resetting passwords, maintaining the theatre timetable, booking emergency case etc. to ensure the system reflects the day to day timetable and that all data is up to date so that daily reporting is accurate. Support staff in the department with computer issues and smartcard renewals..
- Deputise for the Theatres Senior Administrator in their absence, attending the Monday scheduling meeting and ensuring the weekly schedule is reflected on the Theatre computer system. Using the theatre information system, print operating lists at appointed times. Update theatre lists as requested, whether adding patients, changing order or cancelling patients.
- Ensure all data entered onto the system is accurate and timely.
- Print patients operation notes as directed from the theatre computer system.
- Assist the Theatre Information assistant in validating data on the Theatre Computer System.
