**Location**:Royal Agricultural University, Cirencester***
**Term**:Part-time, permanent
**Salary**:Grade 5: £23,715 - £27,929 - pro-rated based on the below part-time
working pattern***
**Working pattern** 6 months at 7hrs/week (0.2 FTE) and 6 months peak at 14hrs/week 0.4 FTE
with the exact pattern to be confirmed
**Relationships with**: Staff, students, visitors and suppliers
Role Purpose
The post-holder will support the provision of a high-quality Acquisitions function, particularly by the
acquisition of print books and e-books and their integration into the reading list services. They will
work closely with internal and external stakeholders to provide effective Acquisitions processes and
workflows, including the monitoring of related funds. The post holder will also help support the
library’s front-line service and be expected to deliver a high standard of customer care.
Key Responsibilities
Resource Acquisitions
1. Take primary responsibility for the acquisition and accessioning of books in print and
electronic formats
2. Maintain and strengthen acquisitions processes and workflows, including liaising closely
with Learning Resource Advisors to support reading list processes
3. Ensure that resources are obtained in a timely, fiscally responsible and effective manner
4. Further develop and regularly update procedural manuals
5. Work with the Resource, Discovery and Licensing Manager to meet internal cataloguing
and metadata standards, and to develop effective mechanisms for managing e-book
holdings
6. Liaise with book/e-Book suppliers and/or publishers to resolve any supply or access issues
and troubleshoot as required

7. Liaise with team members on raising purchase orders and handling invoices
8. Assist with developing and delivering innovative and effective acquisitions functions to
provide best value
9. Coordinate digitisation for reading lists in accordance with copyright permissions
10. Help develop regular reporting on e-Book usage
11. Deliver an excellent and responsive acquisitions service for all users
Budget monitoring
12. Maintain appropriate financial data and records for the relevant fund and budget codes,
and monitor and accurately report as required to maintain expenditure and commitments
within the specified budget
13. Obtain supplier quotes as needed
14. Liaise closely with the Ledgers team and the Purchasing and Licensing Assistant to ensure
the accurate raising of purchase orders, receipting of invoices and reconciliation of
payment data
15. Liaise with your line manager to identify spend patterns over time, and help set an initial
forecast for the relevant budget/s
Supporting access to e-resources
16. Liaise with suppliers and publishers in providing access to e-resources
17. Support Learning Resource Advisors in answering e-resources queries or dealing with
issues
18. Escalate more complex queries to suppliers and/or Department colleagues as required
19. Maintain e-resource access by, e.g. responding to turnaway reports, licence upgrades etc.
20. Maintain accuracy of orders and holdings
21. Import marc records into the LMS and maintain/improve quality standards
Supervision
22. Oversee the arrival, ‘check-in’ and processing of print books
23. Train and supervise Library Service Advisors in book processing
24. Liaise with colleagues to develop, improve and introduce efficient processes
Wider contribution
25. Take shifts on Help Desk as required by weekly rota, and/or to maintain cover during
advertised opening times
26. Maintain an active programme of continuous professional development to build expertise
in relevant areas
27. Role-model our customer service values in interactions with students and other
stakeholders
28. Contribute to cross-departmental projects, and engage with staff and team development
activities
Other
29. Provide support and cover for department colleagues, with a willingness to work
flexibly. This may include occasional evening, weekend or Bank Holiday working
30. Undertake any other duties appropriate to the role and level
