Here at Kinnerton we are looking for a confident person who thrives in a customer facing environment to manage our reception.

Hours: 37.5

Monday - Friday

08:30 - 16:30

Salary based role.

**Responsibilities**:

- First point of contact - Meet and greet visitors.
- Maintaining telephone system in line with Organizational Charts (work with IT)
- Maintaining and updating Entry Sign system in line with the policies for visitors and contractors (Work with HS&E Manager)
- Ensuring that all post is processed and monitored efficiently.
- Booking couriers for oversees parcels.
- Taxi booking (as required)
- Visitor lunch booking (as required)
- Ordering of stationery and water & identifying, communicating cost saving initiatives
- Raising purchase orders and requisitions for purchases
- Issue of Tensor cards/fingerprint scanning (support labor agencies as required)
- Processing holiday requests to Tensor - File holiday forms and acknowledge declined holidays.
- Updating the external health and safety board weekly
- Maintaining a clean and tidy reception area
- Management of visitor shoe cupboards & meeting rooms
- Ensure that the reception manual is always kept up to date.
- Support Fire evacuation procedure
- Stock control for canteen orders
- Zatpark portal maintenance and housekeeping.
- Keep noticeboards, HUB Boards, Value Boards & table talkers up to date by producing communication and posting documents with the wider HR team.
- Monitor and log the monthly Values Award responses and work with the site management to determine winners and produce monthly announcements.
- Charity request/letters communication
- Support HR Team with administration tasks as required.
- Collate weekly agency hours worked, raise PO and submit to the recruitment agency.
- Support HR Administrator with New Starter Induction (Photos, Fingerprint scanning, etc)
- Support with preparation for site events (Christmas, Easter etc)
- Annual Shift Calendars for 4 on 4 off, AB.
- Issuing of off-site parking permits for new starters and annual renewals

Qualifications:

- Good communication skills both verbal and written.
- Customer Service/Customer facing Experience
- Confidence in dealing with people on a 1-1.
- Good organization skills and good time management.
- Attention to detail.
- Administration experience
- Ability to identify and put into practice improvement ideas.
- Microsoft Office package experience - excel, word, PowerPoint, Teams, SharePoint
- Ability to work Independently
