Assisting the Business Support Manager in the provision of a complete administrative support service covering Primary Care National Contracts.

Working as a member of the Primary Care Business Services Team, the postholder’s prime responsibility is to provide procurement and budgetary support to the Primary Care Services managers and the service boards.

The postholder will take responsibility and manage designated elements e.g., supporting, facilitating, and monitoring progress of procurements.

Responsible for the day-to-day ordering and procuring of Primary Care IT services and systems on behalf of NHS Wales, tracking order progression, reviewing any deviations to plan, taking appropriate action to rectify any breaches in accordance with agreed procedures.

Maintaining an effective and efficient document management system for contract documentation.

Establishing and maintaining a system to enable the payment of invoices relating to Primary Care IT systems and services.

The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply.

The Business Support Officer will process and ensure that the demands made of the supplier meet the service SLAs. The postholder will be the point of contact for requesting Primary Care IT Services and system quotes using service catalogues and will place orders on behalf of Local Health Boards, Primary Care Contractors, and other NHS Wales bodies.

Assisting the Business Support Manager when submitting the monthly budget position and validating supplier quarterly schedules before passing for settlement.

The postholder will provide and maintain effective two-way written and verbal communication with individual Stakeholders as directed by the Business Support Manager. This will include updating stakeholders using presentations; 1:1 meetings both online and in person; ensuring awareness of new developments, system changes and service information; and representing the Performance and Contract Team at supplier review meetings. Consulting with colleagues within DHCW informally and in meetings, providing updates on a regular basis, and the ability to self-prioritise the workload against supplier demands whilst referring to the Product Support Managers and Team Leaders. The postholder is responsible for communicating regular, up to date information covering Catalogue of Suppliers' systems, services, and costs, tracking orders and deployment information and supplier performance data.
