**The role**:
An opportunity has arisen to join our Maintenance Help Desk team. The job is interesting, and the work is varied. You will be responsible for the day-to-day operation of the Estates Help Desk customer service function, reporting to a Senior Maintenance Manager. Capturing appropriate information and evaluating breakdown problems, taking appropriate action to register the problem quickly and effectively, and allocate to the most appropriate maintenance zone or individual. Carry out administrative tasks related to the provision of this service.

**What will you be doing?**:

- Liaising with contractors and suppliers regarding attendance to site, deliveries and payment.
- Responsible for ascertaining if the job is to be recharged to the originating department and inputting the appropriate charge code data.
- Analysing data in Planon to prevent duplication of jobs, to ensure continuation of parent jobs to sub jobs, and ensuring closure of only fully completed jobs where no follow-on works have been identified.
- Analysing data in Planon to provide reports to Managers on job numbers, locations, individual workloads, priorities and work types etc.
- Processing contractor and supplier invoices and submission to Finance department.
- You have experience within the building facilities Maintenance sector, general administration work or call centre operations.
- You have experience using computerised administrative systems and competent in the use of Microsoft packages. The post requires accurate planning, data input proficiency, good working-processing skills and familiarity with current database packages.
- You are a good telephone manner is essential, together with the ability to communicate effectively with a wide range of university staff and external organisations.
- You have an ability to work as part of a team and to establish supportive positive working relationships with colleagues. To be able to organise own work schedule to meet deadlines, to work on own initiative, anticipate requirements and deal with situations as they arise.
