To provide a comprehensive high level, efficient, accurate and prompt administrative service to all stakeholders by assisting in the smooth running of the service.

As a member of the Administration Team, a flexible approach to the post is essential to enable prioritising the different workloads and duties.

Excellent communication and interpersonal skills are required to carry out duties with tact, diplomacy and sensitivity. Make sound decisions and judgements using initiative and level of authority as agreed with Line Manager.

Knowledge and understanding of the structure, policies, management and operational procedures within the department and the Health Board as required in order dealing with internal and external enquiries in a competent and confident manner.

Assist the Administrator in the general day to day running of the administration office.

Together with the office team provide first point of contact for all telephone enquiries both internal and external including, receiving calls from the general public on the booking line using own skills and judgments; asking sensitive and appropriate questions; to be able to sign post calls as per protocol involving frequent exposure to distressing and sometimes emotional circumstances. To be able to exercise listening skills with tact when dealing with sensitive issues and remain calm when dealing with an upset client.

Maintain accurate and up to date filing system on computer of all work undertaken and all appropriate paperwork, maintaining an efficient and user friendly filing system.

The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply.
