**What is the role?**

We are now looking to recruit a Personal Assistant (PA) to join Persimmon Homes East Scotland. This role reports to the Managing Director.

The purpose of this role is to provide a confidential secretarial service for the Managing Director and where applicable the Regional Management team and to ensure the administration functions in all departments work together cohesively.

**The role will include**:

- Providing PA support to ensure the effective running of the office administration, maintaining the companies’ high standards of reporting and organisation
- Organising diary management and dealing with correspondence swiftly to maintain good levels of communication at all times.
- Compiling letters and reports, including Board Reports and Board Packs accurately and on time.
- Preparing itineraries and accurate minute taking, documenting key tasks
- Organising business travel and accommodation for Directors in line with company guidelines
- Monitoring and approval of Directors holidays
- Provision and programming of a weekly report for Independent Quality Controller Inspections
- HR support for the office, ensuring HR process is co-ordinated with Group HR. HR letters including probationary, bonus, resignation letters are issued timeously and ensuring all personnel files are kept up to date. Access HR System updated as required.
- Provision of Monthly Salary Pack compiling details of new starts, leavers, staff absence and notification of any HR matters. Access HR System updated as required.
- Ensuring all necessary health and safety checks are carried out 6 monthly or yearly for the office.
- Subject Access Requests are dealt with timeously to meet Group deadlines, with documentation provided from various Departments.
- Dealing with Solicitors / Insurers in respect of administrative duties for any external claims and car insurance claims.
- Ensuing adequate cover is arranged for Reception at holiday periods.

**What experience, qualifications and skills are we looking for?**
- Previous experience in a similar role is essential.
- Fully conversant with Microsoft Office including, Excel and Outlook and Powerpoint.
- Excellent communication skills both written and verbal.
- Experience in managing and prioritising multiple tasks
