**Job summary**:
The post holder delivers the following outputs:
- Direct secretarial and administrative support to Hd JFTI (a 1-Star military appointment),
- Broader administrative support for the JFTI Command Group (e.g. coordination of and attendance at weekly planning meetings)
- Assists with wider JFTI administration (e.g. updating SharePoint).
**Job description**:
**Conduct Time and Diary Management**. In close cooperation with Hd JFTI, both Assistant Heads and staff as required, manage Hd JFTIs diary, taking responsibility for forecasting activity, arranging appointments, visits, and meetings, and ensuring effective use of time. Respond to staff queries regarding Hd JFTI’s schedule and liaise with staff to ensure effective preparation for all meetings and key events. Coordinate, manage and lead weekly Command Group diary/coord meetings.
**Deliver Office Products**. Manage all typing and filing, ensuring JFTI Command Group administrative functions are completed swiftly, and official correspondence is produced in a timely fashion. Manage access to allocated secure cabinets and account for classified documents/equipment as required. In collaboration with nominated JFT and JFI staff, act as the Information Manager for JFTI.
**Conduct Inward and Outward Visits**. Work with responsible staff to ensure that forecasts are maintained, plans are synchronised, bureaucracy is minimised (e.g. single Business Cases are developed for multiple visitors/travel) and necessary authorities are secured to deliver:
- ** Inward**. In close collaboration with lead staff as required, plan, coordinate and deliver all aspects of inward visits to JFTI. This includes inviting attendees, arranging meeting documentation, booking/setting up conference rooms and virtual meeting (Teams/Skype/S-VTC) facilities, meeting and escorting visitors and conducting security clearances.
- ** JFTI Staff**. Arrange arrival/departure interviews for JFTI Staff.
**Coordination and Collaboration**.
- Develop close working relationships with PA to Director General Joint Force Development (DG JFD), PA to Director Joint Warfare (DJW) and PA to Head Warfare Development, facilitating coordination and collaboration between these principals in support of JW aims and objectives. Be prepared to provide administrative support to other JW principals (e.g. where another EA is on leave) and to assist the JW Admin Support Staff if required/capacity allows.
- Maintain efficient organisation, management and administration of resources allocated to best support Hd JFTI, including hospitality and gifting registers. Complete any other administrative tasks as required in support of JW business
- As required, assist the JW Admin Support staff with the delivery of administrative support to the JW floorplate including support to exercise or event registration.
**Person specification**:
- No formal professional qualifications are required for this role however previous experience of PA work is an advantage.
- Ability to interact routinely in a diverse and fast-paced working environment, forecast business, seize the initiative, engage widely, prioritise activity/outputs and work under pressure to meet strict deadlines.
