Job description

As part of the Bereavement Services Team, the Bereavement Services Administrator will play a vital role in ensuring the seamless communication with children, young people, parents, carers and professionals. The Bereavement Services Administrator will provide excellent administrative support for all referrals, booking and case closure processes. The post holder will also ensure that children and young people are allocated to the right service, with the right practitioner, at the right time and will provide administrative support to the Bereavement Services Team.

**Main Responsibilities**:

- Communicate tactfully with children and young people, parents, carers, professionals and staff about referrals or appointments.
- Ability to be empathic and supportive over the phone when speaking with children, young people, parents and/or carers who may be distressed as a result of their bereavement.
- Communicate administrative information to staff from other departments and external contacts as necessary.
- Maintain working relationships with colleagues and other stakeholders.
- Demonstrates compassion for those using our services, including all stakeholders.
- Ability to perform a range of work procedures and practices, including the use of an electronic database.
- Knowledge of routine administrative procedures and moderate level of IT literacy, including the use of Word, Excel and other Microsoft packages.
- Knowledge of how Winston’s Wish services are constructed, including referral pathways, closure processes and how children and young people can flow into, between and out of services.
- Resolve issues relating to schedule or calendar conflicts.
- Plan and organise straightforward activities such as allocation of children and young people to caseloads through Outlook and Salesforce.
- Accurately input and amend Bereavement Services data on our internal database (Salesforce) in accordance with GDPR. - Ensure information on Salesforce is up to date.
- Ability to prioritise own workloads with mínimal assistance from supervisor/manager.
- Work with colleagues to ensure switchboard calls are answered.
- Produce reports from Salesforce as requested.
- Provide administrative support required by the Bereavement Services Team.

- Undertake specific projects and other ad hoc duties agreed with your line manager, fulfilling any deadlines, reviews and reporting procedures required.
- Take an active part in the one-to-one process and participate in training agreed with your line manager.
- Ensure the health and safety of all colleagues, volunteers and visitors in accordance with Winston’s Wish policy.
