Maternity Senior Administrator

To provide administrative and clerical support to the Community Matrons and to support and assist in the effective management of the community on a day to day basis. To coordinating the staffing and to ensure staffing levels are safe and escalated where appropriate. To assist the Matrons with the budgetary planning and recruitment of staff. To manage Healthroster and ensure it is 'Live'
To line manage the Band 2 administration team of Ward Clerks.
- Manage the E-rostering system for the unit. Complete the E-rostering in a timely manner ensuring that the staffing levels and skill mix are appropriate for each team
- Managing annual leave requests on the E-rostering system to ensure that annual leave percentages are adhered to supporting the safe staffing of community
- Maintain the HealthRoster ensuring that all changes, leave, sickness and study days are inputted correctly onto the E-rostering system.
- Support maintenance of staffing levels by coordinating NHSP bookings on a day to day basis, planning the off duty and monitoring staff sickness and absence, under the direction of the Community Matrons, using the E-rostering system.
- Promote communication links between all professionals in community, clinical and non clinical support services in order to ensure that services are effective.
- Support the Community Matrons with budgetary planning and monitoring.
- Support the Community Matrons with the recruitment process, recruiting relevant staff members in a timely manner to ensure safe staffing levels within the community setting.
- Gather and produce information for ward audit purposes.
- Raising purchase orders to ensure outstanding invoices are paid in a timely manner.
- Accurately maintain staffing personnel records and keep them up to date.
- Provide administrative support to the Community Matrons, including the management of their diaries.
