JOB SUMMARY:
To deliver an efficient and effective HR support service to managers, staff and other relevant groups, having responsibility for all people administration matters.

DUTIES AND RESPONSIBILITIES OF THE POST:
Key responsibilities of the job

Service Delivery
- Act as a first point of contact for people queries from managers, staff and volunteers, signposting to relevant internal policies or the HR consultant as necessary.
- Liaise with the HR Consultant on more complex HR matters that arise, and support these from an administrative perspective.
- With support from the HR Consultant, be responsible for the administration and maintenance of an appropriate suite of HR policies and procedures, ensuring legal and regulatory compliance.
- Support the absence management process including return to work compliance, reviewing absence triggers and liaising with Occupational Health.
- Support with any change management initiatives.
- Support the delivery of the Health and Wellbeing Strategy and manage the associated wellbeing packages.

Information and Systems Development
- Undertake ongoing development and accurate updating of the HR information system (currently Sage HR). Act as the Superuser for the HR information system from a HR perspective.
- Oversee the online learning platform (currently Blue Stream) from an administrative perspective to allow employees and volunteers to undertake mandatory online training and to log other training
- Produce management information and statistical data on a range of people metrics including, but not limited to, file audits, mandatory training compliance, appraisal completion rates, absence levels.
- Produce a wide range of employment documents, including contracts of employment, letters, templates, forms and recruitment packs, ensuring they are accurate and well-presented, meeting specifications and deadlines.
- Oversee a system for storing personal information relating to employees and volunteers.
- Ensure information is efficiently cascaded to relevant others such as Payroll.
- Ensure the appropriate use and safe storage of personal information held in relation to employees and volunteers, in accordance with relevant data protection legislation, and to follow relevant codes of practice to ensure effective information governance.
- Monitor and collate feedback and evaluation information, for example exit interviews and staff and volunteer survey data and provide reports as required.

Resourcing
- Responsible for recruitment administration and co-ordination of all employees and volunteers (including Trustees), supporting managers to recruit and induct high quality individuals using fair and relevant recruitment methods and thorough induction processes.
- Undertake screening checks including Disclosure and Barring Service checks, professional registration checks and Right to Work checks.

Personal Development:

- To be committed to personal and professional development and complete mandatory and statutory training as required. To set challenging goals through the appraisal process to ensure the effective delivery of organisational, team and personal objectives.
- To keep updated with current policies and procedures, as well as external trends and developments.

General
- To ensure that personal conduct, ways of working and work activities are aligned to the Hospice’s purpose and values at all times.
- In accordance with the Data Protection Act 2018 and the General Data Protection Regulations, to ensure the maintenance of confidentiality in respect of staff, volunteer and client records and all privileged information relating to the services of the Charity, its patients, staff and volunteers and particularly of the area for which directly responsible.
