Academic Services Officer

We are currently looking for an Academic Services Officer to join our busy team in Trafford, Manchester.
The Academic Services Officer is a critical member of the College team and is significantly involved in the administration of the key aspects of the student academic life cycle. The ASO will assist the Manager of Academic and Support Services and the Academicand Support Services Coordinator in maintaining ensuring the efficient and streamlined operations of the delivery of all academic programmes, the College's student management system and ensuring that records are compliant with college, partner University andexternal stakeholder expectations and the adherence to policies and regulations always ensuring a high standard of accuracy and completeness.
**Salary**: £23,000-£25,000 per annum
**Academic Services Officer Duties**:
**Academic Operations**:
- Manage the front-line student academic enquiries which will include; timetable and examination information, assessment regulations and results release.
- Meet with and advise students in relation to academic procedures such as appeals, resits and extenuating circumstances.
- Support the provision of front-line services to students and academic teaching staff providing on-going support with regards to key information concerning the academic environment and associated technologies.
- Coordinate setup, updating, maintenance and monitoring of the Virtual Learning Environment (VLE)
- Coordinate teaching delivery
- Coordinate examinations and coursework assessments
- Arrange and support post-assessment activities including marking, moderation, module panels and Board of Examiners
- Support the recruitment, onboarding and management of the Academic Teaching Team
- Support the administration of Academic Teaching Staff (ATS) meetings and College Learning and Teaching Boards inclusive of the production of timely and accurate minutes
- Ensure that the examination moderation and external moderation processes meet agreed timelines
- Ensure all examination papers are approved where appropriate by the University Partner
- Ensure examination and summative assessments are marked in accordance with agreed assessment regulations
**Student Records**:
- Maintain the student records system, Navigate, to ensure that the information held is accurate and complete at all times.
- Undertake regular audits of the student records system, addressing any data gaps by obtaining the relevant data from appropriate sources.
- Provide the university partner with reports on changes to student circumstances, course withdrawals or deferrals, student engagement and visa refusals.
- Update student records as a result of reports received from the University Board of Examiners.
- Carry out duties as may be required by the Manager of Academic and Support Services
- Support the administration of all College Committees and Boards inclusive of the production of timely and accurate minutes.
**Compliance**:
- Undertake frequent compliance checks on all student records ensure that all records and supporting evidence are accurate and complete.
- Support and ensure College governance in areas around Academic compliance.
- Administration, monitoring and chasing attendance of students on a weekly basis. Support college data reporting, both internally and externally.
- Assist the Manager of Academic and Support Services and the Academic and Support Services Coordinator in preparing the College for any internal or external academic auditing events
**Timetabling**:
- Arrange and collate the teaching timetable for the College's block system, taking into consideration academic staff availability and other significant factors
- Arrange and collate the timetable for college extracurricular activities
- Liaise with the University's central Timetabling team to arrange room allocation for the timetable
- Publish the timetable in advance of the start of the semester and respond to timetabling requests from students and staff throughout the academic year
- Ensure that Exam Invigilators are well trained and available as necessary to underpin a robust Examination process
**Academic Services Officer Requirements**:
- UG Degree or 2 years relevant work experience
- Experience of working with data systems
- Experience of working with and meeting the needs of varied stakeholders
- Good understanding of the importance of file management (including electronic files)
- Excellent verbal and written English language communication skills
- Possess good data analysis and presentation skills
- Excellent administrative skills
- The ability to maintain information to a high standard of accuracy and completeness.
- Have the ability to communicate with and collaborate with people from a diverse range of cultural, educational and professional backgrounds
