All learners have access to regular one-to-ones for emotional and wellbeing support alongside our Enrichment Programme and support into employment.

**Summary of the Role**

Green Corridor requires the skills of an enthusiastic and reliable Administration Officer. This role will be extremely rewarding, you will be welcomed into a friendly team of staff and will be helping with the smooth day-to-day running of the office. You will be responsible for maintaining a positive and friendly image by acting as the first line of contact to visitors and volunteers, in person, online, and via the telephone. You will have support from the team and will work alongside all members, reporting directly to the HR Manager.

**Specific Duties and Responsibilities of the Role**

**Administrative**
- Establish and maintain good relationships with all Learners, parents/carers, colleagues, suppliers, contractors and other professionals.
- Answer and direct phone calls promptly, and manage the BT Cloud phone portal, providing a positive link between Home and Green Corridor
- Support the CEO and HR Manager with day to day administration.
- Manage central administrative database and CPD spreadsheet
- Develop, implement and review administrative procedures and systems putting in place necessary management controls, for example, ensuring required documentation is obtained in order to action changes legally.
- Maintain accurate records and staff meetings, distributing agendas, minutes and other relevant documentation as required.
- Maintain administration systems, including diaries, records, mail, filing, and archiving of records.
- Taking minutes for team and external meetings across departments.
- Manage learner register and digital sign in system and organise and schedule visitor appointments.

**Financial**
- Order all office, site, H&S, Horticulture, FS and Catering supplies.
- Match invoices to monthly Barclaycard statement & allocate cost centres, work closely with our accountant to ensure all documentation is accurate and complete.
- Manage post and office deliveries and distribute accurately.
- Book training courses and support HR Manager with CPD for staff and volunteers.

**General**
- Participate in organisation-wide, site-based team meetings, collaborative planning activities and other meetings or activities relevant to position.
- Act as a first point of call as support and contact for all employees and visitors in a positive and friendly manner.
- Prepare and edit correspondence reports, presentations, and confidential information.
- Manage the reception area, staff room, and meeting rooms as required, including staff and visitor sign in system, and health and safety.
- Management of the first aid room, including first aid supplies.
- Update all notice boards including but not limited to; learner and staff board, H&S board.

Management of Printer system and maintaining link with the suppliers to ensure prompt

**Person Specification**

**Experience**:

- Essential_

2 years relevant experience in administration

Literate in Microsoft Word, PowerPoint & Excel

Using technology, able to use an Apple Mac computer system

Working with young people with special educational needs

Qualifications:

- Desired_

Degree level educated, preferably within a similar field
- Essential_

GCSE grades A-C or 5-9

Excellent communication skills, both oral and written

Proactive, self-motivated, can-do attitude

Ability to work without supervision

An eye for detail and results driven

Problem solving skills

Excellent time management skills, able to prioritise workload effectively

Motivational and amicable

**Salary**: £21,840.00-£22,840.00 per year
