We seek an Administrative Assistant colleague to join our client, a global leader in software development.


  • Employment, agency worker employment contract - Duration: 12 months (with potential to be extended).
  • Hybrid work - 3 days onsite/week is required in Stain-upon-Thames.


Description:

We have a great opportunity for an experienced, highly organised, detail-oriented self-starter with a personable demeanor. You are the glue that keeps our Senior Leadership together. You’re enthusiastic, flexible and a team player with strong interpersonal and communication skills who operates well in a fast-paced, ever-changing environment.

  • Expense management duties, which include submitting expense reports and receipts on time.
  • Act as a point of contact for executives during their travels, offering support and assistance as needed
  • Partner with VP+ Executive Assistants when applicable to provide on-the-ground support when VP+ leaders are travelling in-region.
  • In-office meeting management: align agendas, coordinate meeting rooms, assist with food orders, and other meeting needs for Senior Leaders when traveling to the region and requiring assistance with coordinating.
  • Proactively identify and address any issues that may arise during travel, providing quick and effective solutions.
  • Handle end-to-end travel (flight, hotel, car, visa, etc.) arrangements for all senior leaders (Directors+) in Global People travelling in-region or to the region.


Requirements:

  • 3+ years of administrative assistant experience.
  • You are a technical wizard with Word, Outlook, PowerPoint, Zoom, Concur, BOX.
  • Proficient in travel booking platforms and expense management tools.
  • Familiarity with international travel regulations and restrictions is a plus.
  • Desire to become a local ambassador and work under pressure while consistently meeting deadlines.
  • High level of confidentiality, discernment and judgment.
  • Superior communication skills with the ability to work across all levels, internally and with agencies.
  • You’re comfortable interfacing with global leaders and executives.
  • Strong teamwork and interpersonal skills, with a desire to offer suggestions and improvements.
  • You’re able to multi-task, including juggling multiple calendars, teams and requests. You’re also flexible in response to changing priorities and needs.
  • Proactive, one step ahead work ethic, attitude and approach.
