**Introduction**

Established in 1952, HorseWorld Trust is a registered charity based in Whitchurch, near Bristol, committed to rescuing, rehabilitating and re-homing horses, ponies and donkeys in need. Our Welfare department provides a home to all our new arrivals, including sick, neglected and traumatised horses and ponies. We have a team of trained staff committed to their care and rehabilitation and eventual re-homing. HorseWorld also runs a ground-breaking educational programme called Discovery which supports emotional growth and learning in young people through hands-on experience with our rescued horses, ponies and donkeys.

Discovery is a registered part-time alternative learning provision, which supports children and young people who are at risk of exclusion or who are experiencing life challenges due to social, emotional, mental health (SEMH) or additional learning needs (SEND).

Discovery’s Equine Assisted Learning courses unite our gentle rescued horses with young people who are typically outside of mainstream education or those who face adversity in a formal school setting. Through partnering with our horses to undertake carefully designed activities, at their own pace, in a calm, welcoming environment, Discovery learners (typically aged 6 - 19 years) are supported to develop skills that are transferrable to many areas of their lives such as those of collaboration, reflection, empathy and leadership. Discovery courses build learners’ confidence through discovering what they can achieve and encourage their aspirations to lead meaningful and purposeful lives.

**Role Profile**

**Job Title: Finance Officer**

**Job Purpose**

To assist with the smooth and efficient operation of the charity’s finances.

**Salary**

£23,000 to £25,000 per annum dependent on skills and experience

**Hours**

35 hours per week from 9am and 4.30pm, Monday to Friday, with a half hour lunch. Occasional additional hours required on weekends to assist with events.

**Role Overview**

Reporting to the Deputy CEO you will deal with the suppliers and budget holders in all departments. The Finance department handles the finances of the charity and operates Xero Accounting software system and Sage Payroll Software.

**Key Elements**:
**This will involve: Responsibility for all purchase and sales ledger**
- Reconciling purchase invoices with orders and delivery notes/statements, where applicable
- Filing/scanning orders and delivery notes
- Filing/scanning purchase invoices upon payment
- Ensuring purchase orders are completed in accordance with procedures ensuring all invoices are coded correctly
- Passing invoices to relevant managers for authorisation
- Inputting of purchase and sales ledger onto Xero
- Payment of invoices at month end via BACS system
- Ensuring ad-hoc, mid-month and monthly payments of invoices and expenses are ready for signature/authorisation
- Liaising with the Deputy CEO to ensure sufficient funds are available
- Ensuring sales ledger invoices are processed and sent for payment
- Debt management control

**This will involve: Reporting Duties**
- Monthly bank reconciliation
- Input of monthly journals
- Assist with cash flow management
- Quarterly VAT Returns through Xero
- Fixed Asset Management through Xero
- Assist with the preparation of the monthly Department Managers Reports

**This will involve: General finance duties**
- Entering bank payments and receipts onto Xero to include monthly direct credits and PDQ transactions
- Monthly reconciliation of the company credit cards and fuel cards
- Daily control and monitoring of petty cash including monthly reconciliation and reimbursement
- Monthly reconciliation of online shop sales and input onto Xero liaising with Supporter Development Team
- Reconciliation and inputting PDQ/other transactions from bank statement onto Xero
- Weekly banking of payments, physically to the bank
- Assisting with day-to-day duties within Finance department

**This will involve: Payroll Duties**
- Collate monthly timesheets from all departments and ensure they are all signed and authorised
- Check holidays and lieu time has been correctly entered and calculated
- Notify HR of staff sickness and collate information regarding sick pay for processing
- Calculate changes and payments, input and process payroll for staff and supervisors
- Liaise with Deputy CEO once completed so SMT payroll can be finalised
- Update and distribute new timesheets to all staff for the coming month
