The UHL Cardiac Surgery Department is an emergency-led service, based at Glenfield Hospital. The unit is a centre of excellence within the UK and also enjoys international recognition. You will work as part of a team comprising of a wide range of healthcare professionals - doctors, nurses, and administrators.

An exciting opportunity has arisen for an enthusiastic and dedicated Medical Team Administrator to work within the Cardiac Service at the Glenfield hospital.

The work includes the processing of clinic and admin letters using the latest digital downloading methods, communicating with and scheduling patients for surgery. This will be achieved by working alongside the Cardiac Surgery medical staff and other administrative teams to deliver excellent patient care. If you work well under your own initiative, prioritising your workload and understand the importance of good communication, whilst working within a team then we would like to hear from you. It would be an advantage if you already have experience in the various hospital systems and have at least one year’s administrative experience in dealing with customers or patients.

To provide a full administration service for the Consultants(s) in Cardiac Surgery ensuring that the quality standards of the Trust are met. To provide support and guidance to patients, carers, relatives, company representatives and others making contact with the service.

KEY RESULT AREAS

To provide a full administrative and secretarial service to the Administration Team Leader and consultant teams. This will include:
- Evaluate and deal appropriately with all incoming correspondence ensuring that those urgent enquiries are passed to the clinician promptly. This will include an element of autonomous decision making based on the clinicians’ normal practice.

Responsible for the efficient and effective administration of the clinical office including diary maintenance, room and meeting bookings and other administrative arrangements as required to enable the clinician to fulfil their role.

Maintaining files and records according to UHL standards

The post holder is responsible for the timeliness, accuracy and integrity of the data which is recorded on paper and electronic systems.

Liaising with clinic co-ordinators and support teams in order to make outpatient appointments from Consultant and GP referrals especially in relation to peripheral clinics ensuring that all the appropriate paperwork is received in a timely and efficient manner.

Provide a first point of contact for all levels of staff, patients and their relatives with the clinician. This will include advice and support to patients and their carers in relation to their appointments, treatment and diagnosis ensuring that at all times confidentiality and data protection are not breached.

Ensure results/reports are chased in a timely manner and brought to the Consultant’s / Medical Teams attention. Ensure results are followed up so patients are given follow up appointments/discharged as appropriate

Provide assistance and support to clinicians and their teams in researching and preparing academic or other papers for publication or presentation.

Ensure that all Consultants and their teams annual leave and study leave is communicated to the Cardiac Surgery Team Leader and relevant areas
