The post holder is required to undertake a combination of the following as part of their role:

- Providing comprehensive administrative support and inputting data into the relevant computer systems and excel documents
- Answering and responding to all routine enquires
- Providing general administrative support
- Support the doctors with compliance with mandatory training
- Support the consultants with the attendance management policy
- Open and sort incoming mail
- Establishment and maintenance of correspondence and other filing systems
- Attendance management of locums through TempRE
- Update health roster as required for sickness and leave
- To assist with the rotation of new trainees to the Trust
- Carry out other general clerical and administrative duties within the team
- Support doctors with the attendance management policy
- Support with compliance of mandatory training
- To create basic rotas and assist with daily staffing queries

Communications
- To provide and receive information for both internal and external contacts
- To communicate effectively with staff, managers and the public, both written and verbally in a professional, courteous, sensitive manner, maintaining confidentiality at all times
- To handle sensitive situations effectively, dealing with aggressive, upset or anxious employees in an empathic and calm manner and ensuring their concerns are passed to the appropriate person
- Presenting a professional image for the department and ensuring that all users are dealt with in a professional and helpful manner.

Planning and organising
- Responsible for planning and organising own workload in order to meet deadlines.

Responsibilities for Physical and / or Financial Resources
- Ensure effective use of material resources/supplies within the department in consultation with senior staff.

Responsibility for Policy and Service Development and Implementation
- The post holder will at all times demonstrate a knowledge of, and behave in a manner consistent with, the standards set out in Trust Policies and Procedures.

Responsibilities for Human Resources and Leadership
- Maintain a regular and comprehensive Personal Development Plan as part of an annual Appraisal Review process and ensure appropriate Continuing Professional Development is undertaken;
- Attend Mandatory training in line with training schedule and undertake Mandatory e-learning competencies;
- Attend all necessary training and updates for safe use of equipment;
- Demonstrates activities in own work area to new employees;
- Follow and comply with Standard Operating Procedures in line with the role.
- Acting as a role model to colleagues, always seeking to maintain the highest standards of professionalism;
- Using their initiative and taking responsibility for themselves and the quality of their work and the service they provide;
Responsibilities for data and information resources
- Word processing of documents and ad hoc reports
- Creation and maintenance of Excel spreadsheets
- Answer all routine enquires related to the role
- Filing in personal files

Physical Skills and Effort
- Use of a keyboard as part of regular computer usage
