**TRAINEE ADMINISTRATION/FINANCE OFFICER - 21 hours per week**

SoLDAS Boston Women’s Aid is an established domestic abuse charity in Lincolnshire.

SoLDAS operates a purpose built refuge and three dispersed houses for those fleeing domestic abuse, supporting victims and their families through their journey from crisis to recovery.

We deliver awareness-raising workshops on healthy relationships to primary and secondary schools and work one-to-one with pupils affected by abuse.

Responsible to: Finance and Administration Officer

**Salary**: £10,701 (£17,835FTE) aged 21 and over; £8,000 (£13,334FTE) aged 16 to 21.

Pension: SoLDAS pays into a staff pension at 6% of salary

Location: Workbase is Boston, Lincolnshire

Holiday: Pro-rata 20 days per year plus 8 Bank Holidays

Hours: 21 hours per week, working flexibly as part of the team, as agreed with the CEO.

There is a probationary period of six months, after satisfactory completion the post becomes permanent.

**Objectives of Post**

We are looking for an enthusiastic/flexible person to come and learn the role.

The Trainee Administration/Finance Officer will have full training for entering all financial data into QuickBooks, through to balance sheet stage. Learning the administration duties for the organisation, this includes the OnTrack Case Management system and collating data for funders.

Training will include learning:

- To maintain budgets for individual projects.
- To prepare financial reports for the Treasurer as required.
- To prepare financial summaries for the CEO.
- To prepare accounts for financial year end and submit to Auditors.
- To work within and implement all Boston Women's Aid’s operational policies and procedures especially Health & Safety, Equal Opportunities, Confidentiality and Security, and to communicate with the CEO any problems relating to these policies.

**Duties**

Following training and under the direction of the Finance and Administration Officer, duties will include:

- To be responsible for the administration of the Charity;
- Enter, process and post invoices, expenses forms and requests for payment;
- Record income and expenditure;
- Maintain and reconcile direct debits, to investigate and resolve discrepancies;
- Maintain petty cash and debit card records;
- Undertake BACS payment runs;
- Reconcile supplier statements to purchase ledger balances and resolve discrepancies;
- Responsible for credit control;
- Import Payroll;
- Reconcile bank accounts;
- Calculate and enter accruals and prepayments, deferred income, deferred expenses, accrued income and all other postings necessary to prepare management accounts on Quickbooks as requested by the Treasurer;
- Reconcile all balance sheet accounts;
- Calculate and post project budget allocations;
- Check monthly payroll to timesheets and prepare allocation of salary costs between project budgets;
- To attend any meetings (e.g Staff / Trustee Meetings) take minutes when required and undergo relevant training either internal or external as requested by the CEO.
- Working within the confines of confidentiality and data protection, ensure that professional boundaries are always maintained, and work within BWA’s Code of Conduct.
- To ensure that security of sensitive information is maintained in accordance with BWA policies and procedures.
- To adhere to all BWA current policies and procedures and abide by all terms and conditions of employment.
- To carry out any other duties that may be required by the CEO.
