**Responsible for**: Primarily responsible for co-ordinating the post order process for our Capital Projects and full range of products. Day-to-day oversight of project requirements and the Post Order function within Hydro International.

Good organisational skills as well as communication skills, both written and verbal are important as the role calls for interaction with the Project Managers, suppliers, logistic providers, and customers to ensure the customer’s requirements are met.

**Competence & Qualifications**:
Good knowledge of Microsoft Office, use of a database / contact management system is an integral part of this role and previous experience would be beneficial.

The ability to deal competently with People at all managerial levels by telephone as well as face to face, whilst under pressure. Good communication skills, a mature approach and interpersonal contact are vital.

Excellent teamwork skills essential.

Effective project administration and time management.

**Key Duties**:
1. To carry out project administration duties, administer all relevant paperwork for orders received, place orders and co-ordinate our requirements with our suppliers and logistic providers in collaboration and under the direction of the Project Managers. Update our database to reflect current status of orders and liaise with suppliers with regards to delivery dates and / or technical information that may be required to fulfil the order.

2. To work closely alongside the Product Management and Design Teams to ensure that all associated documentation and associated templates, BOMs, O&M manuals and integration of systems is efficiently and diligently able to be provided.

3. Day-to-day administration for the Project Management team to meet the commercial objectives of the European Capital Projects Team. Specifically;
- Placing project orders on suppliers, liaising with supply chain to ensure timely delivery, documentation distribution and some site resource planning
- Facilitation (meeting mins)
- Checking status of builds for the team and procurement checks
- Handle and distribute enquires that are sent to a standard mailbox, set up a folder structure on the database and send acknowledgement of enquiry
- To co-ordinate personnel, ensuring that individuals have the correct tools and training to carry out their roles effectively.

4. To assist in the production of timely and accurate monthly progress statements on the performance of the Capital Projects Team.

5. Raise final sales invoices to customers upon stage completion.

6. Send customers proof of delivery/installation as and when requested
