We have an exciting opportunity for a Building Coordinator to provide day-to-day responsibility for all building and reception services at our Warren Bruce Court office.

**Key Responsibilities**:

- To ensure that building standards are maintained, repairs/maintenance activity is logged and actioned, to keep the building to a high standard for our customers.
- Responsible for the operational management of the day-to-day activities within Warren Bruce Court.
- Develop and deliver marketing/sales awareness & activity both face to-face and using a variety of digital social media networks to promote the building/services.
- To support the Group Premises Manager in analysing budgetary information of the building to assistance itemizing all costs in line with forecasting and annual budget creation.
- Ensure that the Tenant's/Visitor car parking is controlled to ensure parking restrictions are adhered to and that the reception/training/meeting rooms are monitored daily.
- Provide a professional and pleasant welcome to customers, callers, and visitors.
- Order and manage stationary & equipment for the building.
- To ensure that tenants are billed effectively each month as part of regular billing cycles whilst ensuring that all costs are accounted for.
- To manage aged debt in line with accounting practices so that money is proactively recovered, this involves working closely with the finance team monthly and following up any shortfalls.
- Maintain accurate and up-to-date records using our in-house electronic FM Systems and electronic call handling system.
- Ability to work without Supervision and always help with the smooth running of the building.
- Proactively suggest improvements and recommendations in relation to the service or building by proposing and gathering costed options.
- To ensure the annual PPM maintenance for the building is maintained and all documentation is accounted for and filed correctly in compliance with legal and regulatory requirements.
- Manage contracts/contractors, challenge on costs and complete regular comparisons to demonstrate good value.
- Complete daily walk rounds and building checks. Including taking direct action to own and resolve any issues from beginning to end.
- To meet with potential tenants to discuss the WBC offer, with a view upselling and letting office space.
- Draft Licence Agreements using our standard templates for the Group Premises Manager to check before completing, ensure notice periods are adhered to, and ensure offices are made good, and ready for new tenants.
- Escalate any urgent issues with the line manager, so that these issues can be appropriately managed within a reasonable timeline.

**Requirements**:

- Previous experience in a similar role is desirable.
- Excellent communication and organisational skills.
- Experience in dealing with and managing third-party suppliers.
- Excellent understanding of computerised Systems, Word, and Excel.

**Salary**: Up to £25,390.00 per year
