My charity client supports farming families with housing needs and financial support across England and Wales. They are looking for an **administration officer** to manage the charity’s grant work as well as ensure the smooth operation of its busy office, which is based in Barford, near Warwick.

**To be eligible for this role you must possess experience of working within farming or agriculture in the past due to the liaison you will have on a day-to-day basis with farmers and agricultural stakeholders and suppliers.**

**Flexible working but with 3 days in the office, one of which must be Friday. Full time (37.5 hours per week).**

**Job Summary**:
**Key Responsibilities**:
**Administration duties**
- Manage the Gift Aid declaration process for donors, ensuring accuracy and compliance with HMRC regulations.
- Process Gift Aid claims promptly maximizing income for the charity.
- Keep up-to-date with changes in Gift Aid legislation and ensure compliance.
- Manage office supplies, equipment, and facilities to ensure smooth operations.
- Coordinate staff meetings.
- Maintain database records accurately, recording charity donations and communicating with donors.
- Collating and distributing electronic and direct charity newsletters.
- Organise agendas, minutes for trustees’ meetings.
- Inputting transactions to Xero.
- Create charity reports via MS Excel.

**Grant duties**
- Assist in the development of grant budgets and financial proposals.
- Monitor grant expenditures and ensure funds are allocated appropriately.
- Maintain accurate records of grant disbursements, expenditures, and outcomes.
- Prepare and submit grant reports to funding agencies or donors as required.
- Collaborate with program managers and finance staff to ensure grant compliance and reporting requirements are met.
- Keep abreast of changes in grant regulations and policies to ensure compliance.
- Provide administrative support to the grants management team, including scheduling meetings, preparing materials, and maintaining databases.

**Qualifications and Skills**:

- Conversant agricultural knowledge is essential to this role.
- Proven experience in administration.
- Good telephone manner and empathetic approach.
- Excellent data entry and typing skills.
- Excellent organisational and time management skills.
- Attention to detail and accuracy in record-keeping.
- Proficiency in Microsoft 365 and other software.
- Xero experience would be advantageous.
- Effective communication and interpersonal skills with a sense of humour.
- Ability to work independently and as part of a team.
- Prior experience working with non-profit organisations or government agencies is desirable.
- Positive ’can do’ attitude.
- Ability to work under strict timelines.
- Ability to travel to events and shows on occasion as required by the organisation.
