**Contract Support Coordinator**

**Fixed Term Contract - 12 months - 37 hours per week**

**Up to £29,168 per annum depending on experience**

Are you a highly motivated administrator with a can-do attitude, looking for a new and varied role? Are you organised with the ability to prioritise your workload using your own initiative? If this sounds like you, we have an exciting opportunity for a Contracts Support Coordinator to join our Grounds & Facilities team on a 12-month fixed term contract.

In this role you will support the Grounds & Facilities manager and team leaders with the operational management of contracts associated with their teams. You will lead on contract support and act as the first point of contact for our external contractors.

**Key responsibilities**:

- Raise project and job tickets for planned, reactive and cyclical works, ensuring these are carried out on time; organise any follow up actions and ensure works are logged, raised and recorded for compliance
- Direct requests and queries to relevant stakeholders and follow up enquiries to maximise customer satisfaction and the prevent complaints
- Ensure all relevant contractor information are kept up to date and stored effectively
- Produce letters and distribute to tenants Schedule and minute meetings across teams
- Interrogate and update IT systems and databases to find answers and solutions to daily queries / works
- Ensure the document repository is up to date
- Ensure invoices for services received are checked for accuracy and processed
- Ensure the collection and easy retrieval of all relevant information relating to contract service delivery within works orders to enable the accurate calculation for the cost of works that are being carried out
- Organise tree management databases, coordinating all stakeholders for tree works which are carried out
- Provide support to other administrators and line managers within the wider business

**About You**
- You will have strong verbal and written communication skills and be comfortable dealing with a variety of people
- You will have demonstrable experience of planning and prioritising workloads to meet deadlines
- You will have experience of working with external contractors and stakeholders supporting contract management You will possess strong organisational skills with the ability to work independently and manage your own workload
- You will be able to demonstrate strong numeracy and literacy skills with keen attention to detail
- You will have a good knowledge of Microsoft Office systems, including Word, Excel and Outlook and the ability to utilise bespoke databases for inputting and information retrieval.
