We are excited to be able to offer an administration apprenticeship opportunity working within the outpatient administration teams across QMC campus, City campus and Abbeyfield court.

You will work alongside the team providing support in a range of administration duties including clinic reception, processing patient referrals, answering telephone enquiries, sorting post and updating patient records, as well as other general office duties.

You will be supported to develop lots of new skills including; prioritisation, attention to detail, using your own initiative and the ability to work in a busy and fast paced environment.

Main duties of the job

You will be a conscientious and enthusiastic team player with good organisational skills. You will need to be able to demonstrate and uphold patient confidentiality at all times, be well motivated and reliable. You will be able to understand and accurately convey verbal and written information and be able to remain calm under pressure. You will present a professional and polite attitude at all times.

You will learn and develop skills using Microsoft Office and NHS systems. For further job responsibilities please familiarise yourself with the job description.

This is a 18 month fixed term apprenticeship and you must be committed to work towards a level 3 in Business Administration.

Working as part of a team, you will support the Outpatient administration teams in the provision of a high quality administrative service to our patients and clinical teams.

You will be expected to demonstrate a flexible approach to the role, providing administrative support for a number of specialties.

Training and Qualifications

Essential criteria
- GCSE’s or equivalent including English and Maths Grade C / Level 4
- Commitment to completing the apprenticeship training
- Ability to demonstrate basic numeracy and literacy skills

Experience

Essential criteria
- Basic skills in Microsoft Office
- Attention to detail
- Good communication and telephone skills
- Understanding and respect of confidentiality in the workplace

Communication and relationship skills

Essential criteria
- Able to communicate information using a variety of written and verbal communication skills
- Exchanges information with patients and staff for appointments and general queries
- Ability to develop good working relationships

Analytical and Judgement skills

Essential criteria
- Able to use judgement in straightforward situations
- Awareness of limitations and when to seek advice to solve problems
- Work in line with Trust policies

Planning and organisational skills

- Requires daily regular use of VDU
- Manual dexterity required to perform tasks

- Must be able to travel between sites and be flexible with the start and finish time when covering reception
