**Main purpose of the job**:
The HR Operations Administrator will support the HR Operations Manager and Departmental Administration in the timely provision of effective HR functions and support services for Department of Library Services.

The HR Administrator will work closely with professional service staff and Managers within Library Services and our central Employment Contracts Administration Team. The employee will maintain and validate Flexi and attendance records, manage staff leave requests, oversee the absence management system and ensure the OT payroll information is accurate and complete daily administrative tasks.

**Duties and responsibilities**:

- Act as initial point of contact for enquiries from Library Services staff in relation to the company HR policies and procedures, providing information or referring queries on to the HR Operations Manager and/or company central HR services as appropriate.
- Recruitment: Manage end-to-end staff recruitments in compliance with company policies and procedures. Also ensuring that funding arrangements are in place for recruitment to all posts prior to commencement of recruitment.
- Onboarding New Employees
- Manage all leavers in accordance to procedures
- Creating and maintain staff and HR records
- Ensure that standardized HR functions is adhered to within the Department.
- Prepare all HR-related staff documentation using appropriate templates, and process changes, amendments and updates to staff terms and conditions using appropriate systems.
- The employee will maintain and validate Flexi and attendance records, manage staff leave requests, oversee the absence management system and ensure the OT payroll information is accurate
- Maintain an effective manual and electronic file for Library Services staff, ensuring central HR services receives appropriate documentation when required.
- Support the induction, probation and appraisal process for all Library Services staff, ensuring that appropriate documentation is forwarded to central HR services, and staff records kept up-to-date
- Run regular reports on contracts on limited funding or staff on limited leave to remain, ensuring that appropriate notice is served to staff at risk of redundancy, or that the required extensions to contract or visas are actioned.
- Support the Department’s annual, flexi and Parental leave.
- Maintain accurate records of staff sickness absences on the My View system.
- Produce monthly sickness absence reports for Director of Operations, Director of Service sand Managers, and compile annual sickness statistics.
- Manage the schemes for Visitors, Honorary staff and Volunteers, and review and maintain relevant records, contact details and accesses.
- As a computer rep, support visitors and staff with access and IT needs by registering them on the Service System, as well as managing access to computer shared drive folders
- Responsible for maintenance of Liblist and Library Services Org chart, as well as ensuring the Library HR page is kept up to date.
- Provide support to the Learning and Development Manager and Departmental Administrator as requested.
- Facilitate corporate communications through monthly peer review
- Ensure that there is an effective and cordial relationship between the central HR services, especially via the passage of information and new procedures and directives.
- Calculate basic staff entitlements like annual leave entitlements for Part time Library Services staff.
- Undertake general office duties as required including filing, photocopying, preparing correspondence and occasional providing cover for other administrative staff within the Department.
- Undertake other reasonable duties commensurate with the level of the role.
- He/she also contributes to the successful delivery of human resource functions through displaying the Department’s values and general goals/objectives and customer excellence at large. In addition The postholder will be expected to actively follow policies including Equal Opportunities polices. The postholder will be expected to maintain an awareness and observation of Fire and Health & Safety Regulations.
