**Role purpose**

The Executive Support function comprises of Business Relationship Managers, Team Leaders, Executive Support to the Chief Executive, Senior Executive Assistants and Executive Assistants.

Collectively supporting Tier’s 1-4 of Cornwall Client's Senior management team.

Reporting directly to the Executive Support Team Leader, you will provide a comprehensive, professional and high-quality PA, secretarial and administrative support to the Service Directors and Heads of Service across the authority.

There are 5 directorates within the Client, each comprising of a multitude of services therein.

As a member of the team, you will be primary assigned a directorate and service area to support however, it is expected that in times of need you will work across any of these services and directorates, as and when needed, providing the highest level of support throughout.

You will be a key and first point of contact, dealing directly with, officers, Members, key stakeholders, partners, residents and colleagues in services across the organisation as well as arranging briefings and giving advice and support for meetings as required.

You will be confident in decision making and problem solving, as well as organising and facilitating actions required from a range of stakeholders and customers across the entire organization.

**Responsibilities**

To provide comprehensive secretarial and administrative support and ensure efficient running of the directorate office.

Develop and promote the role and profile of Business Support & Administration, in the context of corporate priorities, to staff and all internal and external stakeholders

To prioritise intelligently (not on the basis of seniority but business needs).

Do organise and schedule informal and formal meetings on behalf of the management supported, ensure they are supported to the level as required by the agreed service level agreement.

Schedule and arrange travel as required, including accommodation where needed.

Process correspondence and ensure that matters are dealt with effectively, efficiently and are within relevant timescales and deadlines.

Administration and support to any Boards / Groups as required including notes/minuting, preparation, papers collation and distribution, organisation etc.).

Support to events management.

Contribute to Service Training and Development Plans for the team

Work as part of a multi-skilled Customer & Business Operations (CBO) Service to deliver a range of significant council processes efficiently and effectively, providing a fast, high quality and continuously improving service for customers.

Whilst the post holder will spend the majority of time working in one particular area of the CBO supporting an allocated directorate area, on occasions there might be opportunities for the post holder to gain experience in other areas of the CBO either on a voluntary basis or at request in order to assist with other service priorities usually within the same CBO job family.

There may also be movement around the specific directorate you support.

Contribute to a Team Charter for the team through engagement and active participation of the team and across the Service

To maintain confidentiality and diplomacy in dealing with sensitive issues and to be aware of the importance (and implications) of handling such matters discreetly.

Contribute towards, promote and motivate excellent working relationships within the Executive Support Service and the various departments it interacts with whether that is working remotely or face to face in a Client office.
