To provide comprehensive administrative support to the Pharmacy Management Team.

We are seeking a team player who has excellent communication skills, good attention to detail and is well organised.

The post holder will be expected to appropriately manage confidential, complex and sensitive information concerning pharmacy staff, exercising discretion and upholding high professional standards at all times. The post requires a significant amount of accuracy, concentration and flexibility.

The post holder will be responsible for organising and attending a variety of meetings, which includes collating and circulating papers, minute taking and preparing action lists.

You will be proficient in the use of MS Word, Outlook and Excel and familiar with using video calling software, such as MS Teams.

In a courteous and professional manner, respond positively and promptly to enquires and incoming calls. Deal with routine enquiries relating to activities of the Pharmacy Office. Take the appropriate course of action as necessary, liaising with others as required. Act with discretion at all times to take and record accurate messages, redirecting queries where suitable.

Work with relevant staff to prepare meeting Agendas, collate and circulate papers prior to meeting, attend and take Minutes and prepare action plans. Book meeting rooms when required.

In conjunction with Pharmacy Systems staff and Finance, create a variety of reports from system downloads for external organisations including commercial contract commissioners, and when required internally within pharmacy or Yeovil Hospital.

Ensure all shifts including overtime, sickness, lieu and annual leave (including Bank Holidays) are recorded on E-Roster and that all shifts are locked down within the required timescales for payroll.

Assist Senior Management Team with the recruitment process where necessary, and assisting with induction process for new members of staff e.g. uniform, badges, car parking, Q pulse, Employee Online

In conjunction with Pharmacy Senior Management Team, ensure all Standard Operating Procedures in place are updated and in accordance with Pharmacy and Trust requirements. Assisting in the reformatting of appropriate Pharmacy and/or Trust wide policies procedures and guidelines
