We are looking to recruit a Facilities Coordinator

Job Purpose of the Facilities Coordinator

The Workplace Experience Coordinator (WEC) functions as the professional who assists the Workplace Experience Leader (WEL), supporting the management of service delivery in their assigned building(s). The WEC is responsible for assisting in all aspects of client and customer satisfaction.
Delivery of soft services to operate and maintain a high level of customer services, specifically Dining and Soft Services such as Meeting Services & Events Management, Cleaning, Mailroom & Reception.
Develop an understanding of and sound working relationships with key representatives of the client and all key suppliers/service providers.
Acknowledges role as management office "Ambassador". Ensures that the firm's image is reflected through proper telephone and reception procedures, and quality service. Greets guests and visitors to the management office and effectively deals with their concerns by exhibiting a professional, mature, courteous, gracious and efficient manner.
Procurement - requisition management, financial transactions and budget management.
Keep documentation related to the above functions updated and in compliance.
Coordinate changes and handle new requests within this function’s responsibilities.

**Responsibilities**:
Soft Services
Manage BSS contract with support from CSM
Reception
Mail Room
Cleaning Operations including monthly cleaning audit
Porterage and lab waste
Provide absence cover support to management of meetings services

User Experience
Own the Ambassador experience and lead on the JLL program
Manage the annual survey action plan and interact with team members to ensure actions are delivered and reported upon

Corrigo Ticket System
Overview the helpdesk ticket system for the soft services team
Ensure all tickets are actioned, updated and closed out in a timely manner for the soft services actions
Manage any necessary reporting or system updates

Finance Management
Support WEL with monthly reportable financial forecast
Assist WEL with financial budget tasks.
Assist WEL with annual budget planning.
Work with the team, contractors and the WEL to identify and implement cost saving initiatives on site.

Purchasing and Vendor Management
Collection and evaluation of vendor offers
Expense and capital purchases
Raise purchase orders
Interact directly with JLL Sourcing Team
Coding of invoices
Manage invoice processes to ensure accurate payment on time
Management of utilities invoices for site
Tracks compliance with insurance requirements among contractors, vendor and suppliers.

Contractor Management
Develop a close working relationship with all of the vendors under their control to ensure that they fully understand The Client culture and are made to feel part of the team delivering a high quality service.

Small Project Management
Run/lead projects from start to completion

**Responsibilities**:
Emergency Response - act as a key member of the evacuation process with site specific training provided. Working hours to be flexible to ensure site cover in place throughout the working day.
Assures compliance with JLL policies, procedures and standard practices.
Providing site communication towards the client and support the local JLL team in creating it.
