Working Pattern:
21.7 hrs / 3 days Pro rata

The School operates a hybrid working model and supports flexible working. This role will be based at the University of Hull site and will be for three days per week, one of which will need to be Thursday. There will be an infrequent requirement to travel to the University of York site for meetings and/or events. There may be an infrequent requirement to work evenings to support events.

The Role:
We are seeking a dynamic and organised individual to join our team as an administrator. Previous experience of working in a busy office environment is essential and you must have good organisational skills, strong attention to detail and excellent verbal and written communication skills. The ability to work proactively and solve problems is essential, as is being able to work independently and as part of a team.

With guidance from the Primary Care Coordinator, you will be responsible for providing administrative support for the delivery of Primary Care Placements for Hull York Medical Students. You will be a key point of contact for placement providers, and colleagues within Hull York Medical School and local NHS Schemes. You will also provide administrative support for the planning of learning activities for GP Tutors, quality assurance monitoring of placement providers, and formatting and editing learning resources for GP Tutors. You will provide secretariat support for Primary Care Group meetings, and other committees and meetings as required. You will also use University systems to raise requisitions to facilitate payments to placement providers and support the process of setting up new suppliers as needed.

The Primary Care Administrator will play a vital role in planning and coordinating primary care placements for students at Hull York Medical School. This is a fixed-term, part-time role, where you will be part of the Primary Care Team - a small team working within the school’s Programme Delivery and Assessment Team. The Primary Care Team consists of two Primary Care Coordinators, who work closely with the Programme Manager, Director of Primary Care Education and local Associate Directors of Primary Care to coordinate the delivery of primary care placements for MBBS students within Hull York Medical School.

**Duties**:

- Act as a key point of contact for primary care placement providers, colleagues within Hull York Medical School and local NHS Teams, particularly for queries relating to the administration of primary care placements.
- Support the Primary Care Coordinator with the coordination and administration of clinical placement activity, including liaising with NHS teams in hospitals, primary care and community settings to ensure accurate record keeping and produce timely information for placement providers.
- Create and maintain accurate records relating to students’ clinical placements, working closely with staff in the HYMS Student Liaison Offices (SLO) in the NHS to ensure accurate record keeping and the timely sharing of information.
- Provide proactive administrative support and accurate information to the Director of Primary Care Education and Associate Directors of Primary Care to ensure effective, efficient and well-connected daily operations.
- Provide administrative support for the Quality Assurance monitoring of Primary Care Placement providers.

Required:

- Evidence of substantial experience in an office environment covering a broad range of administrative tasks.
- Experience of working in a Higher Education or NHS environment would be desirable.
- Can demonstrate the ability to use a broad range of products from the Microsoft Office suite, including excel, and have the ability to learn new systems and software.
- Has a good general education showing clear evidence of literacy and numeracy.
