Inspec Solutions Ltd, an expanding engineering technology and safety system developer/supplier, based in Sheffield are recruiting for an experienced Office Administrator, starting as soon as possible. You would be joining us at an incredibly exciting time as we are looking to achieve further significant growth over the coming few years.
We are looking for an experienced, professional, organised and personable administrator to be an integral part of our exciting growing business. This role is office based, in our building at the Ironworks, Norfolk Bridge Business Park, where you will be responsible for the day-to-day operation of our reception desk and a range of administration tasks within the business. You will provide support to our Office Administration Manager and Accounts Manager and will be a valued and important part of our company, being the first point of contact in many instances.
You should be knowledgeable in and have a broad experience of general company administration and management of tasks in an SME, including, but not exclusively, the following areas:
- Fleet Management and Car Hire, including bookings, lease admin, fuel cards.
- Sourcing and booking individual & group travel and accommodation requirements.
- Basic HR admin and recruitment tasks
- Creating, managing and monitoring a variety of calendars and spreadsheets
- Arranging facilities/catering for meetings and events
- Sourcing and booking external training courses and medicals both ad hoc and in line with certification expiry dates
- Ordering and managing stationery, safety workwear, PPE and cleaning supplies
- Reception work, including telephone answering, post and goods in and out.
- Filing (Paper and electronic documents) scanning documents
- Collating and checking Expense/Overtime Claims
- Scanning and matching of invoices, purchase orders and delivery notes
- Raising and monitoring Purchase Orders and the relevant Log
- Creating invoices, via Freeagent or similar software
- A full working knowledge of Microsoft Office software
- Confidence in working and communicating with others
- Previous experience of operating a reception area
- The ability to manage their workload in accordance with schedules and timescales.
- More than 2 years’ experience in a similar office role and be able to work independently.
