Senior Strategy Officer

You will manage and co-ordinate relocations across the Trust, ranging from opening and closing buildings in line with the Estate Strategy, internal relocations and supporting occupation of partner buildings (e.g. NHS Trusts / NHSPS / Local Authority etc.). This will involve liaising with key stakeholders, for example: Removals, Digital, the wider E&F directorate etc. to ensure all teams complete their relevant tasks within the timeframe set. It is expected that you will provide on-site support to schemes in terms of overseeing relocations or vacations of properties. You will require excellent organisational and communication skills, and some project management experience is desirable.
You will need to be flexible with your approach to work to support the needs of the business and extensive travelling across the Trust portfolio is essential. Liaising with external suppliers and operational leads is a key priority, along with maintaining effective working relationships with both internal and external colleagues. You will implement and consistently review the accommodation request process and the commissioning checklist.
You will proactively support the Space Optimisation & Development Lead with efficient and effective use of space across the Trust. This will involve arranging and undertaking utilisation audits across the portfolio, including data collection, data analysis and providing reports for various stakeholders. In addition to extracting data from the Room Booking system and highlighting trends, issues for escalation and providing monthly reports.
Furthermore the you will support with the E&F Service Line Reporting (SLR) return, by ensuring the Trusts CAFM system is maintained with up-to-date occupancy information.

1. Provide a full and comprehensive Project Management Support service for relocations throughout the Trust, independently respond to correspondence / enquiries and manage conflicting priorities for different schemes.
2. Responsible for scheduling and co-ordinating a number of internal teams and external suppliers for multiple projects, ensuring deadlines are achieved.
3. Provide on-site operational management for relocations, ensuring that any problems or queries are dealt with and rectified in a timely manner.
4. Report any operational issues / defects to the relevant project lead as required.
5. You will be required to meet with Trust staff on a regular basis to discuss and negotiate relocations and then make the necessary arrangements following this. As part of this, you will be expected to challenge and confirm accommodation requests against “want” vs “need”.
6. Liaise with service leads/managers on relocations and ensure teams are fully supported on each project. Engagement and management of stakeholders is critical to ensure successful project execution.
7. Effective time management, meeting competing deadlines and co-ordinating multiple projects which have the same end dates.
9. Ensure that relevant standards for space utilisation and rationalisation of services are delivered across the Trust portfolio in accordance with the Facilities & Estates strategy and space utilisation policy. This should be in conjunction with statutory, national and DoH/HTM guidance, ensuring delivery of the applicable facets (Space, Function, Quality etc.) in accordance with the Risk Adjusted Backlog Maintenance Methodology.
10. Responsible for arranging and undertaking space utilisation audits as required. Including data analysis of findings and producing reports of varying levels to suit the intended audience, including Executive level.
