**JOB PURPOSE**
- To oversee the efficient and smooth running of the school reception and office areas.
- To manage the provision of administrative and financial procedures to support the work of the school.
- To support a small clerical team and effectively organise their workload.
- To ensure that the administration team support the ethos, aims and vision of the school.

**KEY ACCOUNTABILITIES**
- To develop, update and review an administration process manual to support all administrative functions within the setting.
- To oversee and allocate tasks for the admin team.
- To oversee and monitor the progress and process of allocated tasks.
- To attend Senior Management Team meetings and report to senior staff as appropriate.
- To act as clerk to the Full Governing Board and Committees (Finance and General Purposes, Health and Safety and Safeguarding, Curriculum)
- To ensure comprehensive administrative support for all teams within the school as required and in line with the process manual.
- To produce an inventory of assets and review annually with senior staff.
- To ensure all relevant documents are securely archived for the appropriate periods.
- To develop and review processes for effective stock control.
- To monitor expenditure and income against the school budget and business plan.
- To produce monthly financial reports for the Headteacher.
- To produce Consistent Financial Reports to Senior Management Team and the Governing Board.
- To monitor reconciliations and report any discrepancies to the Headteacher.
- To ensure secure management of all cash, receipts and banking on and off site including reconciling all amounts to receipts and bank statements
- To develop and maintain effective systems of credit control
- To develop and maintain an effective ordering system ensuring all requests are authorised by the Headteacher.
- To place orders and produce invoices using appropriate ledger codes
- To organise and maintain the petty cash system ensuring the weekly float is maintained to agreed levels. To produce a weekly record of transactions.
- To establish a relevant system for personnel records
- To maintain up-to-date and accurate HR records in line with policy and legislation taking Ofsted regulations into account
- To maintain and monitor staff absence and training records
- To support safer recruitment procedures producing all relevant paperwork for appointees
- Deal with all HR queries
- Conduct Centre show rounds as required
- To respond to enquiries and complaints in the initial stage, from service users, visitors and staff, as appropriate.
- To demonstrate a respectful and sensitive attitude towards children and parents/carers and visitors.
- To undertake such other duties, training and/or hours of work as may be reasonably required and which are consistent with the general level of responsibility of this job.
- To undertake health and safety duties commensurate with the post and/or as detailed in the Directorate’s Health and Safety Policy.
- To participate in a programme of self/professional development to ensure that the necessary skills, knowledge and understanding are kept updated.
