**Customer Service Administrator**

**Job Title**: Customer Service Administrator

**Based at**: Kingfisher Court, Newbury with occasional home working option

**Position reports to**: Training Director

**Job purpose summary**: to provide administration support to our Training Account
Managers, scheduling meetings and training course bookings, preparing the client booking pre contract stage and following up to check our client complete satisfaction.

**Communication**: includes office team of Training Account Managers, Booking Co
- ordinator, Training Course Administrator, Learning Co-ordinator, Technical

**Key responsibilities and accountabilities**:
**1. Schedule training bookings**:
**− **Retrieve summary booking details from Account Manager and schedule training dates with the best experienced and located KSL trainer

**− **Follow up course dates with client within the agreed released date, usually within 5 working days using the Client Planner

**− **Follow up information sent by the Account Manager to the client to secure the booking, e.g. trainer profile, proposal

**2. Prepare client booking**

**− **Complete a BRF booking request form recording critical company information, trainer information, materials design or access and accounting instructions.

**− **Hand over BRF to Booking Co-ordinator to create client engagement letter/contract and invoice for all client bookings.

**− **Share BRF (booking information, course title and code, hotel and travel location and expenses) with trainer

**− **Request the setup of engagement letter, terms and conditions and invoice

**3. Follow up new client course bookings**:
**− **Follow up new client transactional course bookings and introduce the client’s account manager for future training needs.

**4. Set up client meetings with the assigned trainer**:
**− **Schedule client meetings with the assigned KSL Trainer, as directed by the
Account Manager.

**− **Keep Training Account Manager informed of meeting progress
**− **Occasionally schedule Account manager meetings with clients, trainers, and/or internal team

**Customer Service Administrator**

**5. Respond to prospective client enquiries**:
**− **Record all new client leads on our Google Sheets Leads Spreadsheet and populate the client contact details onto an individual Client Planner

**6. Security, health and safety**: Adhere to communicated policies and procedures relating to the security, personal data, health and safety of your home working office and the KSL office environment and equipment,
Kingfisher Business Centre when attending meetings. Ensure your own actions take account of your own and other team members’ personal safety and wellbeing.

**Occasional duties**:
In response to client needs, business peaks, team member coverage and personal development, occasional duties may include:
**7. Answer office telephone**: Professionally respond to telephone calls, signpost and provide prospective and current clients with the information they need.

**8. Populate client contract**: Produce client booking contract and complete client booking process to ensure all client training events are accurately recorded, communicated and delivered by the assigned training associate.

**9. Distribute training materials**: Provide trainers with the client logistics and KSL training resources for bespoke training courses to ensure accurate and timely delivery of client services and products.
