Job Title**:Commercial Department Administrator**

**Scope**

Maintaining day to day commercial and financial, project data and administrative personnel services in order to meet both project and legislative requirements to support the Commercial team with all business operations.

**Responsibilities**

Prepare cost V value reports, chasing of back up paperwork and work site information

Prepare information to enable outstanding invoicing for the accounts team

Prepare Internal & external recharges for the commercial manager and accounts team

Manage and reconcile internal and external invoice queries

Assist with Aged Debt and other customer account queries

Record and report monthly production volumes to the Head of Commercial, Commercial Manager and Head of Operations

Customer & Supplier accounts set up

Raise Purchase Order's for suppliers as a reference for invoicing

Logs details from train or ship off load / loading sheets to tonnage reports and service failure reports and cross reference details to the weekly plan

Gain an understanding of all contractual requirements of major customer accounts and assist with all commercial reporting

Various admin duties including telephone queries, filing, booking meeting for the commercial team

Upload month end internal and sub-contractor labour costs to the management system

Provide secretarial or executive support services for the Commercial team

Provide and maintain major project production records, including labour, plant machinery, van & transport fleet

Respond to customer enquiries and work closely with their Commercial and project teams

Compliance to all corporate policies

**Person Specification**
- NVQ/SVQ in Business and Administration, Levels 1-4/BTEC Level 3 award & certificate in principles of Business & Administration or equivalent experience.
- Experience in a similar administration or commercial role
- Self-motivated, with initiative and a proactive approach
- Strong communication skills with the ability to build effective working relations with others
- Detail and results orientated with strong personal values to succeed
- Highly organised with demonstrable planning and delivery capabilities
- Understanding of budgets and financial responsibility
