The post holder(s) will cross cover where needed within the wider admissions team which will help develop their knowledge and build on their skill set and experience.

The post holder(s) will be required to work as part of a team providing a service for the elective admissions function for surgical respiratory and/or gastro admissions. The post holder(s) will also work closely with the secretarial, and administration teams; there will need to be close liaison with consultants, patients, medical and nursing staff, support services and service managers.

This is a multi-skilled and busy role with frequent requirements for concentration and where the work pattern can be unpredictable with regular interruptions. Handling of complex and sensitive information and the need for confidentiality is integral to the post. The role will range from booking patients for pre-assessment, surgery or treatment post out-patient clinic, handling GP and patient queries and booking directly from outreach clinics.

All elective procedure appointments are booked with patient agreement and the post holder(s) will need a flexible approach to ensure that booking processes are implemented, adhered to, maintained and improved.

The post holder(s) will be expected to be responsible for the diary system for Consultants and will need to develop and maintain a close working relationship in order to ensure maximum effect in the management of the waiting list for their area. Adherence to the rules agreed within the Trust’s Access Policy is a key requirement of the post.

- Deal professionally with patient queries in line with guidance from the Trust’s Access Policy using tact and persuasive skills.
- Responsible for accurate input of confidential data onto the hospital patient information system (PIMS) and the theatre scheduling system (Galaxy).
- To be knowledgeable about and understand medical terminology to ensure the correct transfer of clinical information onto patient records and information systems.
- To have a thorough knowledge of work processes and practices around the Access Policy.
- To use the PTL to determine sequence of patients to be booked, adhering to the rules of the 18 week patient pathway.
- To have sufficient knowledge to enable the answering of non-complex clinical questions and to liaise with the relevant professional to ensure clinical queries are answered appropriately.
- Ensure that agreed booking processes are adhered to and that patients have the opportunity to agree a date for procedure post out-patient appointment.
- To ensure patients are provided with an admission date and written confirmation of the date in a timely way.
- Liaise with pre-operative assessment and ensure that pre-operative assessment appointments are arranged for both inpatients and day cases leaving sufficient lead in time prior to the operation/procedure.
- To arrange the requested procedure with the relevant departments and ensure that they have the required documentation for the investigation/procedure including use of EPR for booking procedure.
- Discuss and agree with consultants theatre lists and cross cover during periods of consultant leave. To communicate any changes to the schedule to the theatre team.
- If it is not possible to admit the patient as planned, to advise the relevant departments as early as possible.
- Deal effectively with GP/consultant queries regarding patients booked dates for surgery/treatment.
- Communicate effectively and empathetically with patients and their relatives.
- Ensure that operating lists are booked appropriately six weeks ahead and that theatre time is maximised.
