York Learning are looking for a Data Assistant to join us at our West Offices base in York.

Reporting into the MiS Manager and working closely with the Operations Manager and team, you will be responsible for administrating data from all areas of the service in a timely and efficient manner. You will ensure all data conforms to our high internal and regulatory standards and requirements. It will be your responsibility as the Data Administrator to process high volumes of sophisticated data to support the team.

Typical Day on the Job:

- Pulling and inputting data on customers and using a variety of our data systems
- Cleansing data for accuracy to ensure reports are correct
- The input, audit, creation, and output of related data in relevant systems
- Ensuring the quality and standard of output is maintained, handled and quality assessed
- Identify and call out risks and quality concerns to the MiS Manager and Operational Team Manager
- Give innovative ideas to process transformation.
- Engage with internal and external parties to validate data where appropriate
- Identifying and investigating discrepancies or inaccuracies, resolving root cause, calling out issues and implementing agreed actions.

- Previous experience in a role of data administration is preferred but training will be provided.
- Good communication skills
- Ability to maintain high accuracy standards while handling personal work levels
- Ability to handle sophisticated data using various IT Systems
- Ability to prioritise and work optimally under pressure
- Sound demonstrable understanding of Microsoft Outlook, Excel, Word, PowerPoint and Visio
- A Grade 4/C in Maths and English is required for this role

Desirable: - Education data collection experience

Key responsibilities:

- Undertake all Admin and Data tasks through a variety of systems including, EBS and related modules, OneFile, Google Forms, Google Docs, OneDrive and other systems as they come online
- Liaise with all staff, supporting and monitoring all information to ensure it is accurate and compliant.
- Collect, input and maintain learner data and project data where needed.
- Contribute to the development of the quality standards, process and target setting as part of the team.
- To work flexibly covering members of the team where needed.
- Respond to all enquiries and where needed update the databases.
- Input data accurately and ensure all records are maintained.
- Potentially submission of data returns to outside agencies and third parties linked to ongoing contracts.

Personal Specification:

- Some previous experience of inputting a large volume of data accurately onto a computer system.
- Excellent administrative and organisational skills as required for working in a process-driven office.
- High level attention to detail and accuracy of records.
- Accurate data inputting skills.
- Ability to maintain confidentiality.
- Good verbal communication skills to deal effectively with stakeholders.
- Excellent customer service skills.

Hybrid working arrangements are available for this role. Your contractual location will be the designated council office for your team.

As this role is public facing, applicants will need to demonstrate, at interview, their competency to converse and provide advice and guidance to members of the public, in spoken English to CEFR level C2: Can express him/herself spontaneously at length with a natural conversational flow, avoiding or backtracking around any difficulty so smoothly that the person with whom they are conversing is hardly aware of it.
