**Purpose of Role/Job Overview**
- As our Executive Assistant and Office Manager you will provide administrative and business support for our leadership team.
- You will be responsible for overseeing daily office operations and ensuring the office runs smoothly and staff can work effectively.
- You will assist our Chief Executive Officer.
- Office based in Camberley with some flexible working.

**Key Accountabilities**
- You will ensure efficient management of the diaries for each Executive. E.g. schedule appointments, travel itineraries and accommodation requirements, ensuring optimum use of the Executive’s time.
- Managing all incoming communications (mail, telephone calls and messages) for the senior Executive; drafting responses; redirecting where appropriate; and obtaining additional information.
- Organising and summarising papers and reports, conducting additional research where necessary, to ensure that the executive is in possession of all relevant background information needed.
- Demonstrating the highest level of confidentiality and professionalism to protect the different interests of each Executive and their teams.
- Complex diary management for the Chief Executive Officer.
- Act as a point of contact among employees, clients and other external partners.
- Manage information flow in a timely and accurate manner.
- Format information for internal and external communication - presentations, reports etc
- Liaise with the company accountant - assisting with expense claims and reconciling business bank account.
- Issue client invoices and ensure incoming invoices are paid in a timely manner.
- Assist the senior management team with any other reasonable administrative requests.
- Other general administration duties.
- Responsibility for the smooth and efficient running of the office.
- Assisting as necessary the HR team with recruitment processes, onboarding new employees and ad hoc tasks
- Assisting to organise internal and external company events and activities

**Person Specification**
- Essential_
- Have an understanding of the requirements and implications of working for a Chief Executive.
- You will have demonstrable experience of working in a similar role at a comparable level in a company
- Exceptionally organized

- IT literacy; experience of word, excel, PowerPoint, access database software etc.
- Excellent administration and secretarial skills
- Excellent verbal and written communication skills
- Accuracy and attention to detail
- Be able to work to tight deadlines

- A flexible and adaptable approach to work
- The ability to work on your own initiative
- Tact and discretion, for dealing with confidential information.

- Business-related BTEC HND or degree or equivalent
- NVQ level 2/3 in Business administration or equivalent
- Secretarial qualification from City & Guilds, OCR (RSA) or Education Development International LCCI
- An understanding of the statutory responsibilities of running a company.

- Supervisory experience.
