To provide a full confidential, administrative and secretarial service to the Legal Services Team.
- To be responsible for obtaining complex, confidential and sensitive patient healthcare records within the time parameters of the GDPR.
- To be responsible for the administration and process of Police medical record and statement requests in accordance with agreed processes.
- To support the Legal Services Team in the processing of court statements and requests.
- To develop, maintain and update the Legal Services Case Management System and provide necessary information to the Head of Legal Services for the production of reports to Executives on a regular basis.
- Provide administrative support to the Legal Services Officers and Head of Legal Services as required.
- Acknowledge all new Police statement and records requests and identify the patient and treating clinician on relevant systems.
- Acknowledge all new Court statement and records requests and identify the patient and treating clinician on relevant systems.
- Be responsible for obtaining the necessary medical records, under supervision for the Legal Services Officers, for disclosure to the Police, Local Authority and the Courts.
- To produce high quality documentation to support the work of the Legal Services Team, using the appropriate Microsoft software and adopting the Trust’s corporate standards and styles.
- To ensure incoming telephone calls are answered promptly and that messages are relayed accurately and in a timely fashion.
- Maintain e-filing systems and other Legal Services management processes.
- Effective and competent use of GHC Patient Records Systems (RiO and SystmOne).
- To provide administrative support for Freedom of Information Act requests.
- Responsible for uploading archived data and ongoing management of the new Case Management System (HALO).
- Managing the Legal Services Team diaries effectively and efficiently, including organisation of annual leave.
