Medical Workforce Assistant

Under the direction and supervision of the Medical Workforce Advisor, you will provide a professional administrative service to all Divisions within the organisation for Medical & Dental staff. You will be required to provide a high-quality customer focused service which includes first line advice relating to recruitment to Divisional managers and applicants, provide basic level advice on medical workforce terms and conditions national and local, and will be required to maintain various databases and systems relating to the activities within our portfolio of work.
There is one post available up to 33hrs.
The duties are varied, however there are three key areas of focus; ranging from advising and supporting managers throughout the advertising and onboarding processes, ensuring key employment requirements are satisfied, processing transactional changes to pay information and updating the employment contract details to reflect any changes.
For the North West Lead Employer model for Doctors in Training, we are the first point of contact at the Trust to provide support and welcome information to Doctors for their placement with us, we attend their induction for any queries and working closely with them and departments to ensure they have a smooth transition into the Trust and ongoing support throughout their placement.
The role will also provide guidance for any temporary bank or locum requirements for medical staff and will liaise with Divisional Managers, rota co-ordinators and locum agencies to ensure any bookings are made efficiently and accurately, including approval of weekly locum pay via our Direct Engagement model.
Other aspects support and enables a high quality of service therefore we are looking for a team member who is not afraid of a challenge, has a track record of being an excellent communicator with a customer focused approach. You will need to be able to demonstrate attention to detail, ability to use different electronic systems and display excellent organisational skills to meet the priorities of often-varied demands.
**Accountable to**: Medical Workforce Advisor
The Medical Workforce team continually strive to provide a high-level customer focused approach in all aspects of the service that we provide. We are a small team with a large portfolio of work which encompasses all aspects of employment for Medical & Dental staff. In addition, we support individuals and divisional managers with any queries to enable a positive collaborative working approach.
Throughout the pandemic, the team have been working from home and have substituted ‘working in the office’ with MS Teams so that we are able to use technology to keep in touch with each other, know what our priorities are and maintain that team approach, as well as ensuring good levels of support and guidance to each other. One of the benefits to this method of working is with our daily MS Teams catch ups, which often enables collaborative thinking and an opportunity for learning and gaining knowledge and understanding of aspects that you may not have otherwise been involved with, this supports the Trusts culture for continuous learning, developing and improving.
Going forward we do not know what work will look like post-pandemic but would welcome and support anyone wanting to work from home or work a hybrid model or home and office working.
EMPLOYEE RESOURCING
To provide and effective recruitment service to the divisions for medical and dental posts. This includes, ensuring appropriate terms and conditions advice, retrieval of appropriate forms and employment checking for the relevant grades/posts.
1. Understanding and working within national guidelines, e.g UKBA processes, Immigration Act compliance, Visa rules, GMC requirements, NHS Employment standards, national medical and dental contracts etc.
2. Using the Trac recruitment system, facilitate the recruitment process for all junior doctors including; planning of interview dates, venues, liaison with the recruiting clinician/manage and attending interview panels when appropriate to support relating to good practice and terms and conditions.
3. To provide support to the Medical Workforce Advisor in relation to the recruitment of Consultants in a timely and efficient manner.
4. Review employment status reports to ensure Medical Workforce Key Performance Indicators (KPIs) are adhered to on a monthly basis and action any shortfalls or escalating any concerns as appropriate.
5. To be responsible for the inputting into ESR of all medical and dental employee pay information for new starters, changes to pay details and additional non-pay medical and dental staff. Also to process termination details of medical staff leaving the organisation.
7. To provide HR advice on employee relations matters including policy advice, both Trust and Lead Employer policies.
8. To proactively respond to any queries from the Divisions regarding any medical and dental issues.
