**Engineering Faculty Office**
The Engineering Sciences Faculty Office is the administrative unit that supports the Faculty and its constituent departments as a coherent whole. In addition to the Dean of Faculty, Director of Operations, and Faculty Tutor, the Faculty Office comprises staff with roles in areas such as Careers Consultancy, Education Development, and Digital Innovation.
**About the role**:
**Main purpose of the job**
To provide secretarial and administrative support to Vice Deans and other senior academic staff and line managers as required. This will include diary management, arranging meetings and minute taking, organising and providing logístical support with events, supporting research and enterprise activities, and other administrative support.
The PA will report into the Executive Assistant, and is part of the administrative team collectively responsible for providing a high quality administrative service to underpin the activities of the faculty office. The primary focus of the role will be managing diary arrangements efficiently, servicing committees and meetings as required, and supporting key activities within the faculty.
The postholder will also provide cover and assistance to other staff during peak workloads or periods of absence. In addition, the role requires interaction with many people within and external to UCL, thus a professional attitude, willingness to help, and ability to remain tactful and assertive are required in order to adequately execute the duties outlined.
- This role is eligible for hybrid working with a minimum of 20% on site.
**About you**:
- Minimum of 5 GCSEs at Grade C or above (Including Mathematics and English Language) or equivalent, or having acquired relevant experience.
- Proven experience of providing effective PA support in a complex organisation. Proven experience of effective management of complicated diaries. Experience of organising and servicing committees and meetings.
- Experience of taking notes/minutes of meetings, and ability to transcribe notes concisely, accurately, clearly and in a logical format.
- Computer literacy and familiarity with the Microsoft Office suite (Word, Outlook, Excel, PowerPoint) to a high level.
- Good written and verbal communication & interpersonal skills, which enable tactful and assertive communication with others, and to develop effective, professional working relationships across UCL and externally.
